Position Summary
The Office Administrative Assistant supports the pastor, manages church membership records, serves as the first point of contact for visitors and callers, and ensures the smooth operation of the church office. This role requires professionalism, organization, and a welcoming presence.
Essential Job Functions
Serve as the primary church receptionist, providing a hospitable presence to all visitors and callers.
Assist the pastor and other staff with producing the weekly Order of Worship, e-newsletter, and other publications.
Provide administrative support for baptisms, weddings, and funerals, including preparing certificates, paperwork, and updating records.
Maintain and distribute the weekly prayer list.
Update and manage church membership records, including ministry rosters.
Track attendance at worship services, small groups, and committee meetings.
Manage the church master calendar and ensure accessibility to the congregation.
Process and oversee building use requests, scheduling, access, and key distribution.
Maintain office equipment, including the copier.
Order and maintain general office and ministry supplies.
Distribute and manage church mail and prepare mailing labels for publications.
Maintain digital and paper office records (Charge Conference materials, newsletters, bulletins, etc.).
Oversee church subscriptions (e.g., The Upper Room, OneDrive).
Create and distribute name tags for members.
Prepare materials for the Annual Charge Conference with assistance.
Train and oversee office volunteers.
Compile and publish an updated membership directory annually.
Collaborate with the pastor and staff through weekly meetings and ongoing communication to ensure alignment between ministries.
Perform other administrative duties as assigned within scheduled hours.
Major Responsibilities
Provide administrative support to the pastor, enabling them to focus on pastoral duties and further the church’s mission.
Serve as the first point of contact for visitors and callers while maintaining confidentiality.
Ensure the efficient and organized operation of the church office.
Qualifications
Strong verbal, written, and editorial skills.
Excellent interpersonal skills with a welcoming and professional demeanor.
Ability to maintain confidentiality and exercise sound judgment.
Dependable, punctual, and well-organized.
Self-motivated and able to work independently as well as collaboratively.
Professional Requirements
High school diploma required; college degree or business certificate preferred.
Minimum of five years of administrative experience, preferably in a church or nonprofit setting.
Proficiency in Microsoft Word, Excel, PowerPoint, and Canva.
Experience with church or membership database software (e.g., Breeze, Church Windows) preferred.
Employment Terms
This is an at-will position, meaning employment may be terminated by either party at any time, with or without cause, in accordance with applicable laws. This job description supersedes all previous descriptions, verbal or written.
Job Type: Part-time
Pay: $24.00 – $27.00 per hour
