The Receptionist will be the first point of contact for visitor meets and must be professional, polite and helpful. The receptionist will be responsible for providing administrative assistances in daily office tasks.

Responsibilities

• Manages incoming operator-assisted calls, directing them to the appropriate personnel or department.

• Receives and sorts incoming mail, opening general mail and leaving confidential mail unopened. Distributes mail accordingly.

• Stamps received invoices with the date, checks invoice computations, sorts invoices alphabetically, initials them, and forwards them to the Administrative Assistant Accounts Payable.

• Prepares bank deposits for cheques received, types various letters and memos as requested, and arranges for courier pick-up and deliveries.

• Coordinates materials and supplies for meetings, including refreshments or food.

• Maintains the postage meter and processes all outgoing mail.

• Monitors weekly inventory of all plant office supplies and places orders as needed.

• Contacts the appropriate service company to address any issues with fax machines or photocopiers and follows up to ensure they are in good operating condition.

• Prepares customs and courier documentation for miscellaneous parts being exported or imported.

• Performs other miscellaneous duties or special projects as assigned by managers.

• Occasional travel may be necessary

• Proficiency in conducting presentations

• Typical office setting; manual skills needed for operating desktop computer and peripherals Qualifications

• College diploma or university degree

• 3 years in an office environment

• Computer skills, including familiarity with Excel, Outlook, Word, and MS Office

• Familiarity with QS9000

• Proficiency in English, both spoken and written

• Strong

and organizational skills
