The Receptionist plays a key role in supporting daily office operations, with primary responsibilities in front desk reception, customer service, human resources management, file maintenance, data entry, and general administrative support. Key Responsibilities:
Answer and direct phone calls professionally and efficiently
Greet visitors and ensure a welcoming office environment
Maintain a smooth and accurate flow of information and communication
Human Resources Management
Coordinate new hire onboarding and ensure completion of required documentation
Track and manage employee training and uniform distribution
Maintain up-to-date and compliant employee records
File Maintenance & Organization
Organize and maintain vendor and subcontractor files
Ensure current certificates of insurance and W-9 forms are on file for subcontractors
Data Entry
Enter and maintain customer data using Aspire software
Perform other data entry and tracking tasks as needed
General Office Support
Assist with invoicing, bookkeeping, and insurance audits
Monitor and restock office supplies
Provide general administrative support as required
Qualifications:
Fluent in both English and Spanish (speaking)
Strong organizational skills and keen attention to detail
Excellent verbal and written communication skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Positive, professional demeanor and team-oriented mindset
Ability to manage multiple tasks and prioritize in a fast-paced setting
