Brief Job Description:
The Administrative Assistant III performs moderately complex administrative duties and provides technical program assistance to support operations of the HHS IT Social Services Applications Division. Work involves administering daily office functions, maintaining division documentation, supporting internal record-keeping systems, coordinating training attendance, and assisting with personnel management activities.
Works under general supervision with moderate latitude for the use of initiative and independent judgment. This position requires regular attendance and will be normal business hours.
Essential Job Functions (EJFs):
Exercise independent judgment in managing daily office functions, making limited policy interpretations, and ensuring the efficient operation of administrative processes. Adapt to shifting priorities with flexibility, implementing new administrative systems and procedures when directed, and assessing their effectiveness to optimize workflow and productivity. (25%)
Provide administrative support for Social Services Application staff. Collect, track, and distribute correspondence, reports, presentations, and other documents, ensuring accuracy and compliance with agency guidelines. Assist in compiling information for audits, compliance checks, and other reporting needs. (25%)
Establish, monitor, and maintain internal record-keeping systems, ensuring all information is accurate, up-to-date, and complete. Manage project documents and contracts with discretion, facilitating the creation, transmission, reproduction, and appropriate distribution of records in compliance with agency policies and regulations. (20%)
Organize and coordinate staff meetings, training, and conference attendance by assisting with approval requests, registrations, travel logistics, submission of purchase requests, attendance, and ensuring all necessary closeout activities are completed. (15%)
Assist with various personnel and agency administrative functions, including personnel onboarding, timesheets, system access renewals, required training and offboarding. Assist with completing required forms, requesting necessary equipment such as computers and telephones, ensuring workspace setup, and facilitating a smooth transition for new resources. (15%)
