Job Summary/Basic Function
About the position:
This position reports to the Assistant Director of Production and Facilities and supports The Ware Center Front Desk operations, coordination of daily events, and organizational management of various community councils and alliances.

Duties and Responsibilities
Coordination of all Front Desk operations and procedures at Millersville University’s Ware Center.
Opening of the building in the morning, collection of newspapers and mail, creation and set-up of directional signage for the day’s events, assistance with preparation of the day’s meetings (including the set-up of hospitality).
Maintain a presence at the Front Desk and lobby area, allow only those with Ware Center business to access the upper floors and building spaces.
Greet guests upon entry, assist with informational questions, notify staff/employees when a guest or vendor is here.
Notify the Supervisor and/or full-time staff of any security issues or concerns.
Contact Lancaster City police or Public Safety if necessary.
Provide Customer Service for those with questions or in need of information.
Keep apprised of details of Ware Center events and performances and is knowledgeable on MU functions.
Distribute Parking Vouchers for student workers, maintains logs of issuance and use, processes staff parking passes and student parking invoices received by LPA.
Manage Front Desk Phone System Operations by answering, messaging and responding to calls, ensuring that messages are being communicated to appropriate parties, and ensuring that co-workers and/or students at front desk are answering and responding to phone calls appropriately.
Monitor the Ware Center Prince Street Loading Zone to keep space clear for deliveries and patron drop-off/pick-up.
Maintain an organized central reception area, lobby, and nearby closet spaces.
Keep important and critical forms, such as Accident and Incident Reports, completed and organized for easy access and entry into VenueOps database.
Ensures Event Binder is up to date and current with Event Sheets and that completed Event Sheets are moved from the active event section.
Assist in coordination of mail and shipping needs, oversee incoming and outgoing mail, notify appropriate staff of deliveries, and maintain the Mail Log sheet for these distributions.
Provide prompt and helpful responses to the general Arts at MU/Ware Center email account and/or forward email correspondence to the party to whom it is directed.
Be the central body for ordering office supplies or making requests for copier services.
Submit orders through Amazon or catalog orders in SourcePoint.
Hire, train, and schedule student front desk support.
Arrange for specialized parking, i.e. oversize vehicles, handicapped parking, and putting out Ware Center parking signs as needed.
Create and send Gift Certificates in response to non-profit requests as directed by the Director.
Restock brochures and print paper as needed.
TICKETING
Serve as Box Office agent for Ware Center events and performances during front desk ticket office hours, following protocol, procedures, and policies as directed by Arts Communications Manager and Student Services Box Office manager.
Be trained and able to operate the University ticketing system (currently eTix) for ticket sales for OVPA events and performances via in-person, by phone, or website, and provide ticket count reports to Director as requested.
Act as support for training other staff or student workers to use the ticketing system.
ART EXHIBITION SUPPORT
Work in coordination with Arts Programming Assistant to assist artists who exhibit at the Ware Center in their exhibitions in the Regitz Gallery and Lyte Lobby, performing support functions including set-up of walls and platforms, installation, exhibit supply needs, price lists, and labeling.
Assist in the installation and de-installation of artwork.
Assist in all monthly art exhibit openings.
FIRST FRIDAY / SUMMER EVENTS SUPPORT
Work in coordination with the Assistant Director of Community and Campus Engagement in organizing First Friday community outreach, Arts Smarts camps, and other lobby activities.
Act as support for the organization and execution of activities associated with community events managed by the Assistant Director.
Create signage, charts, and lists assigned for these projects.
SUPPORT FOR ARTS COMMUNITY COUNCILS AND ALLIANCES
Work in coordination with the Director for meetings of the Arts Advisory Council and the Lancaster Arts Alliance.
Send meeting notices, register RSVPs, process communications, prepare meeting minutes, attend and take notes for distribution to members.
Maintain a database for members’ contact information, update as necessary.
Prepare spaces for the meetings including the arrangement of seating, the printing of Agendas, and hospitality.
All other duties as assigned.
Required Qualifications
Six months experience as a clerical assistant 1 OR graduation from high school OR any equivalent combination of experience and training.
Experience performing moderately complex clerical activities with considerable independence.
Excellent oral, written, and interpersonal communication skills.
Excellent organizational skills.
Proficiency in standard office technology, including Microsoft Office, Teams and Zoom.

Preferred Qualifications
Bachelor’s Degree.
Experience working in a performing arts center or arts-related workplace.
Experience with functions associated with the Box Office process, including the sale of tickets and handling cash payments and credit card transactions.
Experience with ticketing software, i.e. E-tix ticketing system.
Experience with database entry in venue management programs, i.e. VenueOps.
Experience working in a higher education institution.
Valid driver’s license.
Essential Functions
