This is an all-encompassing role for an ambitious individual willing to be at the center of a growing and dynamic business line. You will be based in our Sydney office, providing support primarily to the Senior Managing Director, Asia Pacific Head of Client Coverage and Origination, with secondary support on a specific basis to other senior staff.
Key Responsibilities:
Works flexibly as a member of the team in the office to deliver the following:
Personal Assistant to the Senior Managing Director, Asia Pacific Head of Client Coverage and Origination, helping with travel, expenses, calendar management, meetings, logging weekly activity, and helping with deal input into the CRM system.
Provide specific assistance to the Managing Director, Capital & Managing Director, C&I CCO, which will include travel arrangements, expenses, and coordinating CCO meetings and venue bookings whilst traveling.
Coordinating CCO meetings and venue bookings whilst traveling for Director CCO SEA, Director CCO VIC, SA & WA & Director CCO NSW & QLD.
Assist with marketing material by preparing presentations & pitch decks for meetings. Also helping with the formatting and proofreading of proposal letters.
Coordinate and arrange all internal weekly/monthly CCO meetings in the diary with minute taking and distribution.
Coordinate and arrange all external CCO meetings along with the production of meeting agendas and supporting materials/presentations when needed.
Weekly and monthly CCO reporting through the CRM. Making sure CCO team is entering in data and targets ahead of reports being issued.
Assist in keeping all priority targets lists up to date in the CRM.
Process NDA requests and associated documents through the CRM.
Supporting where required client events and sponsorships. Be a part of the broader admin support in ANZ led by Executive Assistant & Office Manager APAC.
Cover for other members of the Administration team when necessary (e.g. during annual vacation, sick leave absence etc.).
Knowledge, Skills & Abilities:
Knowledge of Microsoft office package as an advanced user of all applications (in particular, Word, Excel, PowerPoint).
Ability to maintain strict client confidentiality is essential.
Possess relentless attention to detail and impeccable organisational skills.
Thrive in a fast-paced, entrepreneurial culture and manage multiple and shifting priorities.
Proactive attitude and able to take initiative and offer ideas.
Demonstrate excellent verbal and written communication skills.
Demonstrate ability to prioritise based on importance of deadlines.
Ability to form effective working relationships within the business at all levels and with clients.
Dynamic and energetic approach, comfortable dealing with several conflicting deadlines and variety of tasks.
Good with process management and following a set out approach, using templates and able to apply logical thinking.
Fast learner who enjoys being challenged and doing new things.
