Full Job Description

Summary:Assisting with accurate invoice/payment entry in QuickBooks online and other miscellaneous office tasks. Responsible for relaying incoming telephone calls, greeting visitors in a professional manner and performing various clerical duties by performing the following duties.

Duties and Responsibilitiesinclude the following. Other duties may be assigned.

Answers multi-line telephone system takes accurate messages and transfers telephone calls to the appropriate person in an efficient manner.

Assist Accounting department with QuickBooks on-line data entry.

Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival.

Opens and distributes incoming mail daily and prepares outgoing mail.

Receives and signs for packages and delivers to the appropriate person promptly.

Operates standard office equipment including:

– multi-line telephone system

– photocopy machine

– calculator

– computer/printer

Monitors facsimile machine, directs incoming documents and sends documents via facsimile as requested.

Maintains an adequate office and kitchen supply inventory and requisitions additional items as needed.

Contacts appropriate company for necessary preventive maintenance/service on office equipment and maintain related files.

Performs other related duties as assigned.

Education/Experience:

High school diploma or general education degree (GED); or two years related experience and/or training; or equivalent combination of education and experience. Prior QuickBooks Online experience preferred.

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to multitask and facilitate office needs for visitors and employees.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions.

Computer Skills:

To perform this job successfully, an individual should have knowledge of QuickBooks Online and basic computer skills.
