Position Overview:
We are seeking a warm, dependable, and self-initiated Virtual Assistant to support our administrative operations. This is more than a task-oriented role. We’re looking for someone who brings heart to their work, thrives in collaborative environments, and wants to grow alongside a values-driven team. The ideal candidate will be organized, communicative, and skilled in writing, with a genuine ability to “hear” and warmly support our clients (mostly parents/caregivers) in every interaction.
Responsibilities Include:
Answering and returning phone calls with professionalism and warmth
Managing emails, scheduling, and calendar coordination
Using Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) for daily tasks
Maintaining spreadsheets, documents, and task lists
Supporting onboarding processes and documentation for new clients
Assisting with basic billing or insurance follow-ups (training provided)
Upholding strict confidentiality and HIPAA compliance standards
Collaborating with clinical and admin staff on special projects
Providing consistent, high-quality communication internally and externally
What We’re Looking For:
Excellent grammar, writing, and communication skills
Strong organizational and task management abilities
Comfortable making and receiving phone calls with a caring tone
Tech-savvy with Google Workspace, spreadsheets, and email systems
Self-motivated, reliable, and willing to work assigned hours
Warm, empathetic demeanor—especially when engaging with families
Trainable and open to feedback; a growth mindset is a must
Team player who collaborates and contributes creatively to solutions
Bonus Points For:
Experience in pediatric healthcare or therapy settings
Prior experience with practice management software or CRMs
Work Hours:
Part-time, with set hours during the workweek (specific hours to be discussed)
Must have consistent access to a computer and personal phone.
