Primary Purpose:
The purpose of the administrative assistant is to provide administrative support to Compliance, Truancy and the Director of Human Resources such as taking phone calls, scheduling meeting, managing the coordinator’s requests, creating reports, and other office duties. This position requires the ability to maintain effective rapport and good public relations with students, parents, the general public and to handle any problems or concerns in a prompt and courteous manner. The assistant must also be able to work in a fast-paced environment with many interruptions and with the ability to perform multiple tasks accurately and simultaneously.
Qualifications:
Education/Certification: Associates Degree preferred; High school diploma or GED with experience will be considered
Experience:
Administrative secretarial experience preferred
Special Knowledge/Skills:
Strong verbal and written communication skills
Proficient knowledge of various software programs: Microsoft Office products (Word, Power Point, and Excel) and Google products (Docs, Sheets, Slides, Forms)
Proficient keyboarding and file organization skills
Ability to operate standard office equipment (computer, fax, copier, multi-line telephone, scanner, etc.)
Understand complex, multi-step written and oral instructions
Read a variety of manuals, write documents following prescribed formats, and/or present information to others
Perform basic math, including calculations using fractions, percents, and/or ratios.
Perform other clerical and administrative duties for the purpose of ensuring the efficient and effective functioning of the office
Willing to learn and become efficient in the Student Information System
Must be able to type accurately at a moderate speed
Maintain positive and cooperative working relationships with colleagues and others
Ability to work with a variety of personalities and perspectives in a cordial, professional manner
Ability to prioritize tasks to meet deadlines
Coordinate, compile, distribute, and track court reports, records, and documents
Major Responsibilities and Duties: (The following list is illustrative of both broad and specific tasks and responsibilities. It is not intended to detail every task or responsibility.):
Assist or handle assignments of the coordinator and other Central Office personnel as appropriate
Maintain confidentiality of student, staff, and district issues and observe data privacy requirements
Maintain Google Spreadsheet
Maintain an appointment schedule for the coordinator, setting up and arranging meetings and conferences
Create purchase orders, verify, and file completed orders
Perform multiple tasks
Prepare correspondence, memorandums, forms, and reports
Assist in compiling pertinent data to prepare various state and local reports
Maintain physical and/or computerized departmental files
Comply with all district policies, as well as state and federal laws and regulations
Process incoming/outgoing mail/packages
Fill in for the Front Desk receptionist, as needed
Hold the front desk from 12:00 – 1:00 daily
Assist with program budgets and record keeping for the budget
Maintain accounting records
Answer incoming calls promptly, professionally, with a friendly attitude
Take reliable, accurate messages, and route them to appropriate staff
Communicate effectively in routine, sensitive, and confidential situations
Respond to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents and/or students, etc.) for the purpose of providing information and/or direction
Welcome all visitors and handle their requests or refer them to appropriate personnel
Problem-solving as required to identify issues and create action plans
Attention to detail
Meet deadlines and schedules, working under time constraints, maintaining confidentiality, and working with frequent interruption
Perform any other duties that may be assigned
Supervisory Responsibilities:
None.
Equipment Used:
Phone, personal computer, printer, copier, scanner, Promethean or Touch Screen Boards, and calculator.

Repetitive hand motions; prolonged use of computer; work with frequent interruptions
Terms of Employment:
Admin Assistant scale (10 month)
Evaluation: Performance on this job will be evaluated in accordance with School Board policy and administrative regulations on evaluation of administrative personnel.
