Job Summary:
We are seeking a detail-oriented and organized Compliance Coordinator / Administrative Assistant to support our construction operations. This hybrid role is responsible for maintaining documentation compliance, assisting with office operations, and supporting the project management team with administrative needs.
Primary Responsibilities: Compliance Support:
– Maintain and track subcontractor records, including W-9s, COIs (Certificates of Insurance), business licenses, and contractor license status
– Monitor expiration dates and follow up for renewals (insurance, licenses)
– Organize and maintain job-specific documentation (contracts, permits, city docs)
– Manage preliminary notice and lien release files
– Ensure all documentation is collected and filed before job closeout
Administrative Support:
– Assist with filing (digital and physical)
– Maintain organized office systems (SharePoint, job folders, file cabinets, etc.)
– Answer phones, greet visitors, and handle general office correspondence
– Schedule inspections, city submittals, or meetings as needed
– Support project managers with permit applications and city follow-ups
Qualifications:
– 1–3 years experience in construction administration, compliance, or a similar office support role
– Strong attention to detail and ability to manage multiple tasks and deadlines
– Familiarity with COIs, contractor licensing, and lien release processes preferred
– Excellent communication and follow-up skills
– Comfortable working independently in a small-office environment
– Proficient in Microsoft Office (Word, Excel, Outlook, SharePoint)
Job Types: Full-time, Part-time
Pay: $26.00 – $32.00 per hour
Expected hours: 30 – 40 per week
