Position Summary
The primary purpose of this position is provide Administrative support for the Center for Women’s Health Research.

Responsibilities Include:

Administrative support to the CWHR Leadership team, inclusive of the Center Director, Director of Business Operations, and the Finance Director. This includes coordinating calendars, meetings and schedules, arranging travel, office budget tracking and serving as primary contact to external customers/visitors and taking minutes during meetings.

Provides facility management support to CWHR Operations, such as ordering supplies, oversight of office equipment, facility maintenance and repairs, conference room coordination, inventory management, IT requests, and other duties as needed.

Provides administrative support to the finance team by performing tasks such data entry, invoice processing, invoice reconciliation, maintaining financial records, and assisting with the preparation of financial reports. Maintaining and managing accounts receivable. Assist with general ledger entries and reports and special projects as needed. Place all supplies, requisition, and grant orders for the department.

Serve as point of contact for specific research projects and initiatives. In this capacity, the role will work closely with the PI and research team on progress reporting, budget tracking, project supply ordering, invoice processing, and personnel efforts.

Support the CWHR Communication Specialist and the Pre-Award team with special projects as needed.

Check and distribute mail.

Serves as parking permit coordinator for CWHR, managing parking allocations for the Center and new employees.

Serve at Space Planning and Occupancy Tracking coordinator for CWHR.

Other Business Office administrative duties as assigned.

Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Required Qualifications, Competencies, and Experience
Excellent written and verbal communication skills.

Strong interpersonal skills, with an ability to interact professionally with all levels of staff, faculty, and administration. Ability to successfully handle multiple tasks simultaneously.

Strong attention to detail. Demonstrated ability to learn new systems. Excellent customer service skills, with a client oriented focus, including taking initiative to solve problems to the benefit of the client in a team setting.

Excellent interpersonal skills and the ability to work effectively with diverse groups of individuals, Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Email, Calendar, Docs, Sheets) or similar software.

Preferred Qualifications, Competencies, and Experience
A general knowledge of University business policies and procedures. Prefer a well-organized individual who is flexible and has an ability to multitask and prioritize under pressure.

Experience with administration and office operations in a healthcare/research setting is preferred.
