Overview

The Executive Assistant provides high-level administrative support in a one-on-one working relationship with the CEO of GGB Americas, and with the CEO Specialty, Americas. The Executive Assistant also partners closely with Gallagher Corporate Executives and Senior Executives in other Gallagher divisions. The Executive Assistant must be creative, diligent, and very well-organized, and will enjoy working in an entrepreneurial environment.

How you’ll make an impact

Essential Duties and Responsibilities
Sustain a daily calendar of meetings and events.
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of daily needs and long-term objectives.
Arrange travel and accommodation for executives. Prepare expense reports.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Draft and distribute correspondence for internal announcements, leadership meetings, and groups.
Handle schedules and contacts.
Represent the company in a positive light through great follow-through skills and sound judgment:
Handle sensitive matters with a high level of confidentiality and discretion.
Respond promptly to emails/texts/phone calls, occasionally outside normal business hours.
Welcome guests by greeting them, in person or on the phone; answering or directing inquiries.
Complete ad hoc projects as assigned, sometimes including personal events and/or family needs.
Organize complex calendars and schedules; resolving any scheduling issues

About You

Required:
High school diploma and 7 years related experience required. Strong PC and Microsoft application skills, including Word, Excel, and PowerPoint.
Highly Preferred:
Bachelor’s degree required
5 – 10+ years of related experience required in working in an Executive Assistant role supporting C-Level executives
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Ability to communicate effectively and professionally
Flexible hours as dictated by the needs of business for projects and global meetings
