The Opportunity

Reporting to the Office Manager, this role will see you working across a diverse range of functions, encompassing elements of administration, Marketing, events management, and reception.

You will play an essential role in our visitor experience and will also lead our staff engagement initiatives, contributing to a positive working culture. Day-to-day, this role will also see you provide critical administrative support for the Adelaide team.

Other key aspects of your role include:

Welcoming visitors and attending to enquiries, both in person and via phone

Ordering of catering, stationery, kitchen consumables, etc.

Organising and coordinating office functions and other events

Ensuring the office, including kitchens and meeting rooms, are kept in a clean and welcoming manner, with all consumables stocked

Allocation and management of office access cards

Coordinating and maintaining meeting room booking systems

Preparing, processing, and distributing incoming and outgoing mail and deliveries

Providing administrative support to the Regional Director, Office Manager and Engineering Teams, as required

Booking travels with our travel provider

Assistance with bid process requirements

Processing office and staff expenses

Assisting with invoicing for end of month

Assisting with marketing materials such as capability statements and social media posts

Liaison with building management for office maintenance needs

In addition, we are looking for:

Strong attention to detail and organisational skills

Excellent verbal and written communication skills

A client service approach and well-developed interpersonal skills – friendly, approachable, and reliable

Ability to work independently and use initiative to solve problems

Ability to balance workload and prioritise accordingly

Sound knowledge of the Microsoft Office suite and Adobe (preferred)

Creativity and ability to plan and lead social events from time to time

Ability to be flexible and adaptable

Must have at least 3 years’ experience at reception

Must have at least 2 years’ experience in administrative role

Professional front of house appearance
