Job Title: Receptionist
Location: School District Administration Office
Work Schedule: Full-time, 12-month position
Salary: Based on district salary schedule
Position Summary:
The Receptionist serves as the first point of contact for the School District Administration Office, offering professional, courteous, and efficient service to staff, students, parents, and community members. This position is responsible for managing the front desk, answering and directing calls, greeting visitors, and providing administrative support to various departments within the central office.
Key Responsibilities:
Greet and assist all visitors in a professional and friendly manner.
Answer and route incoming calls using a multi-line phone system.
Respond to inquiries from the public, staff, and stakeholders, or refer them to the appropriate personnel.
Monitor visitor sign-in/sign-out procedures and maintain office security protocols.
Sort and distribute incoming mail and packages; prepare outgoing mail.
Maintain a clean, organized, and welcoming reception area.
Provide clerical support to central office as needed, including data entry, filing, photocopying, and preparing documents.
Manage appointment calendars and meeting room scheduling.
Assist with administrative projects and support event coordination when required.
Maintain confidentiality of sensitive information in accordance with district policies and legal requirements.
Perform other duties as assigned to support the efficient operation of the administration office.
Regular and reliable attendance is required.
Qualifications:
Education and Experience:
High school diploma or GED required.
Previous experience in a front desk, administrative assistant, or customer service role preferred.
Experience in a school or educational environment is a plus.
Knowledge, Skills, and Abilities:
Excellent verbal and written communication skills.
Strong interpersonal and customer service skills.
Proficiency with office equipment and software, including Microsoft Office (Word, Excel, Outlook).
Ability to multitask and manage time effectively in a professional environment.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
