The Receptionist/Office Manager serves as the first point of contact for our clients and visitors while also playing a crucial role in managing the daily operations of our office. The ideal candidate will be a multitasker, highly organized, and possess excellent interpersonal skills. Duties & Responsibilities:
Front Desk & Client Facing Duties:
Front Desk Management:
Greet clients and visitors with a welcoming and professional demeanor.
Answer and direct incoming phone calls, taking messages when necessary.
Maintain a clean, organized, and inviting reception area.
Manage incoming and outgoing mail and packages.
Administrative Support:
Provide administrative support to various departments, including scheduling appointments, managing calendars, and coordinating meetings.
Assist with document preparation, data entry, and report generation as needed.
Maintain office supplies inventory and order supplies when necessary.
Handle travel arrangements and accommodations for staff, as required.
Client Interaction:
Ensure clients have a positive experience by addressing inquiries, providing information, and directing them to the appropriate staff member.
Maintain confidentiality of sensitive client information.
Office Operations:
Oversee office maintenance and liaise with building management for repairs or maintenance.
Manage vendor relationships for office services (e.g., cleaning, maintenance, supplies).
Assist in the implementation of office policies and procedures.
Team Support:
Assist colleagues with administrative tasks as needed.
Coordinate and plan office events, meetings, and team-building activities.
Financial Administration:
Assist in basic bookkeeping tasks such as invoicing, expense tracking, and petty cash management.
Qualifications:
High school diploma or equivalent; bachelor’s degree preferred.
Proven experience as a receptionist or office manager, preferably in a professional office setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to operate and perform basic troubleshooting for office equipment (printers, copiers, phone systems, access controls, etc.).
Exceptional interpersonal and communication skills.
Familiarity with basic financial and bookkeeping principles is a plus.
