Purpose
The Administrative Associate for Academic Affairs supports academic operations and administrative functions within the School of Social Work. Key responsibilities include assisting with course scheduling, syllabus management, accreditation support, and maintaining course and faculty records. The role also provides direct administrative support to the Associate Dean, including calendar management, travel coordination, meeting support, and deadline tracking.
Responsibilities
Academic Affairs support : Assist the Associate Dean and program deans with the course scheduling process, including preparing and gathering teaching preferences in Qualtrics, emailing faculty their course assignment/invitation, updating the course list, disseminating accepted invitations to the scheduling group, requesting classrooms and finalizing course room scheduling. Assist the Associate Dean for academic affairs by collecting course syllabi, proofread for errors, and upload to UT website. Maintain the syllabi archive on School website, including responding to syllabi requests. Assist with Course Instructor Survey maintenance, administration, and notification of deadlines. Assist the Director of Adjunct Affairs and the Director of Academic Initiative with maintaining the adjunct faculty email listserv and coordinating the semester adjunct faculty meeting. Provide administrative support related to assessment and accreditation as directed by the Associate Dean including tracking and updating program data.
Administrative support to the Associate Dean for Academic Affairs: To include travel arrangements/reimbursement; managing calendar and meeting schedules, screening and distributing mail, drafting and editing correspondence; taking meeting minutes/notes; attending weekly Academic Programs and Student Services meetings and providing ongoing support to academic programs and student services. Maintain tracking systems for deadlines, meetings, project timelines, and task assignments. Send reminders or updates based on tracking systems to ensure timely completion of deliverables.
General Administrative Support: This position will also collaborate closely with other administrative staff to ensure consistent office coverage and seamless workflow. As needed, this role will provide direct administrative support to the Dean, covering for the Dean’s primary administrative assistant during absences to maintain continuity of operations, assist with urgent requests, and ensure the smooth functioning of the Dean’s office.Organize, archive, and maintain electronic and physical documents according to records retention policies.
Faculty support: Work with CO-OP staff, and school of social work faculty to ensure textbook orders are accurate, and the book adoption process runs smoothly. Review for accuracy course information in the CO-OP Verba Book Adoption System, and review and approve book orders for all SHS courses. Assist faculty with obtaining desk copies. Work with publisher representatives to market new textbooks and new textbook editions through faculty book fairs, flyers, and email communication. Manage Course Instructor Surveys and be the School’s main point of contact for the CIS system.
Required Qualifications
Bachelor’s degree and one year of experience with administrative support functions
Proficient in Excel and Microsoft Office suite
Experience in designing and implementing organization systems (filing, tracking information, reporting)
Ability to create standardized templates and processes for recurring tasks
Handle sensitive information with discretion.
Professional demeanor
Demonstrated ability to work as a team member and individually.
History of regular and punctual work attendance.
Demonstrated ability to prioritize job tasks in dynamic circumstances without sacrificing accuracy and attention to detail.
Demonstrated ability of excellent interpersonal, verbal, and written skills.

Preferred Qualifications
More than the required years of experience.
Experience working in an institution of higher education.
Experience with UT
Knowledge of university resources and administrative applications.
Familiarity with campus culture and student life.
Salary Range
$45,000+ depending on qualifications
Working Conditions
Standard office conditions (Use of manual dexterity. Lift and move standard office files and supplies.)
Some evening and weekend work.
This position is based in Austin, TX and is required to work on campus
