ADMINISTRATIVE COORDINATOR

Basic Function:
The Administrative Coordinator ensures the efficient operation of the Juneau Chamber of Commerce by handling administrative tasks, financial record-keeping (AP/AR), and supporting the events committee in fundraising and community events. This full-time, non-exempt position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining efficiency in office operations.

Primary Duties and Responsibilities:

1. Administrative & Office Support:

Handle incoming mail, email, and phone calls, ensuring inquiries are addressed or directed appropriately.
Maintain organized records, including contracts, compliance documents, and membership data.
Process incoming and outgoing correspondence.
Monitor office supplies and ensure timely procurement.
Ensure office cleanliness and functionality, including coordinating deliveries and facility requests.
Provide general administrative support for Chamber operations and contractual obligations.

2. Financial & Compliance Support:

Manage accounts payable and receivable, including invoice tracking, payment processing, and reconciliations in QuickBooks.
Assist in the preparation of financial reports for internal use and compliance.
File mandatory forms with state, city, and other relevant entities to ensure timely compliance.

3. Event & Fundraising Support:

Support the events committee in planning and executing fundraising and community events.
Assist with logistics such as vendor coordination, notifications, setup, and event-related tasks.
Act as a liaison between staff, volunteers, and attendees during events.

4. Board & Committee Support:

Prepare meeting agendas, minutes, and reports for the Chamber Board and Alaska Committee.
Attend meetings, take notes, and follow up on action items as needed.

Reporting Structure:

The Administrative Coordinator reports directly to the Executive Director and works closely with the leadership and committees of both the Juneau Chamber of Commerce and the Alaska Committee.

Qualifications:

Bachelor’s degree preferred; equivalent experience in an administrative or operational role will be considered.
Demonstrated ability to complete tasks independently and manage multiple priorities.
Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills with exceptional attention to detail.
Ability to prioritize tasks, meet deadlines, and work independently.
Familiarity with state and city compliance filing requirements preferred.
Professionalism, customer service orientation, and a team-focused mindset.

Job Type: Full-time

Pay: $24.00 – $28.00 per hour
