Simpson Thacher is seeking a Recruiting and Administrative Assistant to provide high-level administrative and coordination support to the firm’s Recruiting team, along with general administrative assistance and reception coverage as needed. This position is well suited for a highly organized, detail-oriented professional who thrives in a fast‑paced, Big Law environment and exercises sound judgment, discretion, and professionalism.

Key Responsibilities

Recruiting Support

  • Coordinate high-volume interview scheduling for lateral attorneys and business services professionals across multiple offices and time zones
  • Enter and maintain applicant data; assist with tracking candidate status throughout the recruiting lifecycle
  • Support law school recruiting initiatives, including recruiting, résumé coordination, callback interviews, and offer processes
  • Provide day-to-day administrative support to the Recruiting team
  • Track recruiting activity, interview outcomes, and offer statuses; assist with reporting and analytics
  • Coordinate background and reference checks, bar admissions verification, and other compliance-related processes
  • Assist with the planning, coordination, and execution of firm-wide recruiting initiatives and events

Administrative Support

  • Maintain accurate and up-to-date physical and electronic Admin/HR filing systems
  • Coordinate logistics for meetings, CLEs, and firm events, including room setup and catering
  • Manage logistics and administrative matters for summer associates and new hires (e.g., temporary housing arrangements, transportation coordination)
  • Assist with Law Society matters, including registrations, filings, and applications
  • Handle confidential and sensitive information with discretion and ensure compliance with privacy policies and data protection regulations

Reception Coverage

  • Provide reception coverage as required

Education

  • Bachelor’s degree required

Skills and Experience

  • 1–2 years of experience in recruiting coordination, HR, or administrative support within a professional services environment
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, particularly Outlook (complex calendar management), Word, and Excel
  • Ability to work independently and collaboratively in a demanding, high-volume environment

Preferred Qualifications

  • Prior experience in a Big Law firm or large professional services organization
  • Experience using applicant tracking systems (e.g., Workday, ViRecruit, Allhires, LinkedIn Recruiter)
  • Fluency in Mandarin or Cantonese
