Senior Administrative Assistant to Senior Director

Full Time – 40 hours/week

Position Description:

At Urban Youth Alliance, we believe that work affirms humanity and demonstrates to our youth and community members that they possess the inherent ability to economically contribute to the rebuilding of our community. Under this role, you will provide administrative support for the Senior Director.

Responsibilities include but are not limited to:

Reporting to the Senior Director, this role involves providing high-level administrative, organizational, and project support to ensure the smooth operation of the Programs department. This role requires a highly organized, proactive individual with excellent communication and interpersonal skills, capable of working independently and collaboratively.

Key Responsibilities:

Calendar and Scheduling Management: Manage the Senior Director’s calendar, schedule appointments, coordinate meetings (including logistics like room setup and materials preparation), and manage travel arrangements.
Communication and Correspondence: Serve as the point of contact for the Senior Director, fielding inquiries, responding to requests, drafting, editing, and proofreading correspondence, reports, powerpoint presentations, and other documents on the Senior Director’s behalf.
Meeting Support: Prepare agendas, compile materials, take detailed notes, and distribute minutes for meetings.
Project and Program Support: Assist with the planning, coordination, and execution of program initiatives, projects, and special events.
Data Management and Reporting: Maintain organized files and databases, collect and analyze data, and prepare reports.
Budget and Expense Management: Assist with managing the department’s budget, processing invoices and expense reports.
Liaison and Coordination: Serve as a liaison between the Senior Director’s office and other departments, external partners, and stakeholders.
Confidentiality: Maintain the highest level of discretion and confidentiality when handling sensitive information.

Qualifications:

Experience: 5-year experience as an Administrative Assistant, Executive Assistant, or similar supporting role, preferably supporting senior-level nonprofit executives.
Education: Bachelor’s degree required. Master’s Degree preferred.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Suite.
Excellent written and verbal communication skills.
Strong organizational and time management skills, with the ability to prioritize and multitask.
Ability to work independently and collaboratively in a team environment.
Strong attention to detail and accuracy.
Ability to exercise good judgment and make decisions as needed.

Comfortable working with faith-based agency; familiarity with Bronx church community a plus

Job Type: Full-time

Pay: $50,000.00 – $65,000.00 per year
