POSITION SUMMARY
The Secretary provides essential clerical and administrative support to assist administrators in the Department of Instruction, assisting with paperwork and routine tasks. This role may require a high degree of specialization depending on the assigned administrators.
EDUCATION, CERTIFICATION AND EXPERIENCE:
At the time of application, the candidate must hold or be eligible for:
High school diploma or general education development (GED) program certificate
Business education training with secretarial experience preferred
Ability to meet the clerical testing requirements for an Administrative Secretary 4 position given by Calvert County Public Schools

Knowledge of modern office procedures and operation of office equipment and machines
Knowledge of basic bookkeeping
Ability to prepare office documents, brochures, and purchase requisitions
Skilled in the operation of computer software, with the ability to prepare and edit documents
Skilled in Office 365 and Microsoft Office applications
Skilled in accessing and entering data into databases
Demonstrate positive interpersonal skills and knowledge of office protocol
Understands basic web design processes.
Demonstrated ability to exercise good judgment in making decisions and handling telephone calls
Demonstrated success in accomplishing tasks akin to the responsibilities listed below

ESSENTIAL JOB FUNCTIONS, RESPONSIBILITIES, AND DUTIES :
Receives visitors, gives information, and answers questions requiring knowledge of Board of Education rules, regulations, and procedures.
Answers and places telephone calls.
Complies with Calvert County Public Schools’ policies and procedures regarding school business.
Enters assessments into Performance Matters with accuracy and ensures timely distribution of assessments to schools.
Enters curriculum into the Learning Management System as required.
Maintains an accurate list of approved school system field trips.
Coordinates enrollment process for new students with schools.
Coordinates events with assigned supervisors.
Arranges for appointments and conferences.
Composes and types letters and other correspondence.
Maintains files, records, website data, and mailing lists.
Opens, classifies, date-stamps, and distributes incoming and outgoing mail.
Types, proofread, and assembles materials for distribution and publication.
Types bulletins, financial statements, tables, and forms from corrected copy and rough drafts.
Checks papers and documents for clerical and mathematical accuracy.
Assembles, summarizes, arranges, and prepares materials for reports, including visual portion of audio-visual presentations.
Enters requisitions, receives ordered materials, and closes POs for payment.
Works closely with the finance department
Maintains inventory as assigned and monitors office supplies
Sorts and files materials and pulls materials from files
Interact well with co-workers and provide outstanding customer service.
Come to work promptly every day.
