Position Overview
We are looking for the right person to join our team as a Part-Time Remote Executive Assistant. This position is designed to support our CEO and help us continue scaling efficiently.
Primary Responsibility
To amplify the CEO’s impact by handling the essential yet time-consuming tasks that stand between vision and execution. This role requires a tech-savvy professional who can adapt to changing priorities while maintaining exceptional attention to detail.
Key Duties Include:
Email Management: Monitor inbox daily, respond to routine messages, organize priority emails for CEO’s attention
CRM Administration: Maintain our HubSpot system, follow up with leads from marketing initiatives, ensure no opportunities fall through the cracks
Strategic Outreach: Contact key stakeholders on behalf of CEO using CEO’s email/tone of voice; maintain consistent follow-up to build relationships and create opportunities
Daily Support: Attend brief check-ins with CEO, discuss priorities, and align on communication approach
Meeting Coordination: Schedule and organize business meetings efficiently
Team Support: Provide administrative assistance to other team members as the role evolves, potentially including email management and task coordination
Retreat Coverage: Monitor and manage inboxes for the entire team during semi-annual team retreats, ensuring continuity of communication
Special Projects: Complete research, support internal recruiting, team event planning, and other organizational tasks as needed
Ideal Candidate:
3+ years of experience as an Executive Assistant to a CEO or senior executive in a professional organization (technology, engineering, financial, or consulting sectors)
Excellent written communication with demonstrated ability to adapt to an executive’s tone and style
Superb academic record
Tech-savvy with CRM experience and comfort using AI tools to enhance productivity
Strong organizational skills with proven ability to manage multiple priorities
Self-motivated with excellent time management in a remote environment
Professional written and verbal communication abilities

Location & Compensation:
This is a remote, work-from-home position (roughly 10-20 hours per week)
Pay rate range is $28-$35 USD per hour, based on experience and qualifications
Flexible schedule with daily availability required for email/communication management
