About the Opportunity: The Remote Receptionist & Administrative Coordinator plays a vital role in managing inbound communication and supporting client coordination in a fully remote capacity during Eastern Time hours. This position significantly influences the experience of prospective and existing clients by ensuring timely, professional handling of all inquiries and maintaining efficient administrative workflows. The role requires ownership, responsiveness, and the ability to manage multiple priorities in a dynamic professional-services environment, contributing to the firm's operational excellence and client satisfaction.

Responsibilities:

  • Manage all inbound communication, ensuring prompt, professional handling and effective routing
  • Capture and direct prospective client information to appropriate next steps without delay
  • Maintain accurate, real-time records of interactions for team visibility and follow-through
  • Coordinate scheduling for consultations and internal meetings
  • Handle voicemails, missed calls, and follow-ups with a same-day response standard
  • Support administrative workflows including data entry, document handling, and internal coordination
  • Monitor communications for urgency and escalate time-sensitive matters appropriately
  • Identify inefficiencies and contribute to process improvements over time

Qualifications:

  • Minimum 3 years of experience in receptionist, administrative, or client-facing support roles within professional services; legal industry experience is a plus
  • Highly organized with strong attention to detail
  • Strong verbal and written communication skills with a polished, professional tone
  • Ability to manage multiple priorities and remain calm under pressure
  • Proficient with CRM platforms, phone systems, and scheduling tools
  • Reliable, responsive, and self-directed in a remote work environment
  • Adaptable and able to manage change effectively
  • Availability to work standard Eastern Time business hours

Pay Range and Compensation Package: Base salary: $40,000 – $55,000 annually
