Location: Portland, OR (in-office required for first 90 days)
Schedule: Monday–Friday, 35 hours/week, 10:00am – 5:00pm

Compensation: $22-24/hour

Position Overview:
We’re seeking an experienced, detail-oriented Administrative & Intake Coordinator with a strong track record of managing complex administrative workflows in healthcare roles. Candidates must be dependable, tech-savvy, and capable of working independently with minimal oversight.

This role begins in-office during the introductory period, with the potential to transition to a hybrid schedule after 90 days based on performance and reliability.

Key Responsibilities:

Support social media presence and post basic company updates
Coordinate internal events and support a positive team experience
Maintain and grow client and newsletter mailing lists
Manage client waitlists and update families as needed
Process new client intakes and gather documentation
Handle daily mail and manage document flow
Track session attendance and assist with basic invoicing
Communicate with clients and team members professionally and efficiently
Coordinate credentialing paperwork and timelines
Maintain accurate digital client records
Assist with special projects and administrative process improvements

Minimum Requirements:

3+ years experience working in an administrative or coordinator role in a medical office, private practice is a major plus!
Demonstrated independence and reliability
Strong written communication skills
Tech fluency in EMRs, Office 365, Excel, and project/task management tools
Experience handling client intake, credentialing, or scheduling
Familiarity with HIPAA regulations and maintaining confidential records
Proficiency in email marketing platforms (e.g., Mailerlite)
Event coordination or internal communications support
Social media posting for business (basic Instagram/FB content)
