Brief Summary:

Provide routine administrative support to the management of Arctic Slope Native Association, Ltd and Samuel Simmonds Memorial Hospital staff and patient travel, including air travel, ground transportation and lodging.

Essential Job Functions:

Provide administrative support to the Travel Department, based on the established travel policies.
Provide front-end support by identifying the needs of patients and employees and redirect them to the relevant services within the Travel Department.
Ensure compliance with ASNA Travel, SSMH Patient Travel, MTFA and State of Alaska Medicaid Travel Policies.
Advise employees and patients of travel policy requirements. Assist with routine travel arrangements: research flight, hotel and rental car availability, confirm reservations, make changes, as necessary, and communicate travel plans to patients and employees.
Assist in screening patients for Medicaid eligibility and other services, including MTFA.
Provide operational coverage, as needed.
Assist with the tracking, requisitioning and maintenance of travel vouchers (not limited to Medicaid), office supplies, etc.
Assist with the close out of travel expense reports.
Responsible for the use and security of the ASNA credit card for travel purposes.
Act as a liaison for vendors.
Manage day-to-day vendor relationships.
Generate Travel Records for payment process.
Manage department’s Concur expense reports and process vendor invoices for payment.
Assist in maintaining travel software and all data entry of authorized travels. Track program expenses and record detailed information for accurate accounting.
Generate routine reports, including unused tickets, ticket cancelation and reimbursement and other reports pertinent to the department.
Generate trouble tickets or service requests, as necessary.
Maintain strict confidentially.
Must be able to work on weekends, if needed.

Education & Experience:

High school diploma or general education degree (GED) required.
Associate Degree in Business Administration or related field preferred.
Three (3) years of work experience in medical travel, coordination of health services, patient services, administrative assistance in health, social or public services, or any combination of related experience, required.
Inupiaq speaking preferred.
Two (2) years of administrative assistance and/or accounting experience in medical, health, social or public services, or any combination of related experience, required.
