JOB SUMMARIZE:
A Hotel Reservation Officer manages guest inquiries and reservations, ensuring efficient and friendly service. They act as the first point of contact for potential and returning guests, providing information about room availability, pricing, and services while delivering excellent customer service. The role involves using reservation systems, maintaining accurate records, and collaborating with other departments to ensure smooth operations and guest satisfaction.
TASK, DUTIES AND RESPONSIBILITIES:
1. Reservation Management:
- Handle room reservation inquiries via phone, email, online booking systems, or walk-ins.
- Accurately input and update guest reservation details in the Property Management System (PMS).
- Process cancellations, modifications, and special requests efficiently.
2. Customer Service:
- Provide detailed information about the hotel’s facilities, services, room rates, and promotions.
- Resolve guest queries and complaints promptly and professionally.
- Build rapport with guests to enhance customer loyalty.
3. Sales and Upselling:
- Promote special offers, room upgrades, and hotel packages to maximize revenue.
- Identify opportunities to upsell additional services such as tours, spa treatments, or dining reservations.
4. Coordination with Departments:
- Communicate guest preferences or special requests to relevant departments (e.g., housekeeping, food & beverage).
- Ensure accurate handover of guest information for seamless check-ins and check-outs.
5. Record Keeping:
- Maintain accurate records of reservations, payment details, and correspondence.
- Prepare daily, weekly, and monthly reports on room occupancy and booking trends.
6. System Management:
- Operate the hotel’s reservation software and online booking channels.
- Monitor and update room availability across distribution platforms (e.g., OTAs like Booking.com, and Expedia, etc).
