Full Job Description

The Sales and Marketing Support Manager serves as the Administrator for the Regional Southeast Sales Offices, representing 40 properties, including 22 Opal Collection luxury resorts and Hotels in Florida. Responsible for ongoing reporting, data analysis, problem solving, training, upholding sales standards,project management, and supporting operations of the Florida sales office. The Sales and Marketing Support Manager works closely with the Regional Director of Sales for Florida and the Northeast, and provides support in several areas. The role is located within the sales office in Delray Beach (or possibly Jupiter, Sarasota or Portsmouth, NH offices).

Detailed Description of responsibilities:

System Management/Administration – including Delphi, Marriott CI, CVENT, Ivvy, Infor HMS. Ongoing data analysis, reporting, insights for sales and marketing that drive results.

Sales Procedures

Assist with educating sales personnel on existing companywide SOPs

Create SOPs for new procedures when requested

Ensure all sales personnel are following standards

Participate in monthly sales meetings with Directors

Training

Work with Directors to train all existing and new employees on policies and procedures

Train new employees with Delphi and CI/TY Training

Track training and keep employees up to date with changes or updates

Track systems passwords and RFP tools

Assist with setting up new users with log in information (EIDs, CITY access, third party sites etc…)

Reports

Run all reports out of Delphi or CI/TY as needed to include group pace, segmentation, GRCs, and any ad hoc reports required

Assist sales personnel with property specific reports

Build reports in Delphi FDC as needed

Provide data analysis and PowerPoints to support data.

Tradeshows & Events

Create/Manage Southeast Regional tradeshow list/budget and keep up to date with estimated costs per hotel

Know when we need to register

Assist sales personnel with materials for show to include collateral, backdrops, giveaways etc.

Ensure feedback forms are received for all shows

Work with NE Corporate Admin on the NE/SE tradeshow list

Assist with planning special client events, FAMs, training classes, etc.

Other

Assist with NE/SW hotels when needed with regards to training, reporting, etc.

Other responsibilities as prescribed by SE Regional Director of Sales

Job Requirements:

Must have a minimum of two years’ experience in hospitality industry.

Must possess excellent written and verbal communication skills.

Must possess strong IT skills – Excel, PowerPoint, Sales Systems.

Must demonstrate a general understanding of hotel operations.

Must be well organized and able to manage multiple tasks at once.

Must work well independently and with a variety of individuals.

Must be punctual and dependable.

Must possess the ability to travel when needed (2-3 times per year, mostly within FL).

Must be able to analyze technical issues and find long term solutions.
