Right of Way Administrative AssistantPosition Overview:
Assists the manager of the ROW Acquisition Team regarding daily oversight and coordination of the team’s activities. Helps with the general administrative, ministerial, and procedural activities involved in real estate transactions. Performs administrative duties such as research, data entry, payment processing, and contractor engagement. Tracks and reports key performance indicators and other metrics to gauge team performance. Prepares reports of project status, costs, and schedules. Identifies and resolves issues that may impact other areas of work. Facilitates coordination of activies with other divisions and departments

Essential Duties and Responsibilities:

Ensures data is entered into the project management software.

Facilitates project controls, tracking, and enhanced reporting from interraction with ROW agents and the project management software.

Prepares performance metric reports to identify, track, analyze, and improve ROW acquisition performance.

Maintains and updates the entire portfolio of acquisition related projects assigned to the division.

Works closely with the ROW Acquisitions Manager to provide data and feedback regarding internal processes that further promote efficient project execution.

Processes requests for payments, receives necessary signatures, and submits for payment.

Coordinates scheduling meetings, preparing agendas, and taking minutes.

Organizes paperwork for signature and notarizing.

Reviews all items to be submitted to Commissioners Court.

Performs other duties as assigned.

Requirements

Education:

High school diploma or G.E.D. equivalent

Licensure:

A valid driver’s license (Texas upon hire), and a good driving record

Knowledge, Skills, and Abilities:

Excellent written and verbal communication skills including using proper grammar and spelling.

The ability to establish strong working relationships with co-workers, the general public, industry, and governmental representatives.

Must have the ability to work in an office setting with minimal supervision.

Must have good problem solving skills.

Must have strong organization and prioritization skills.

Must have a valid driver’s license (Texas upon hire) and a good driving record.

Proficient using Microsoft Office applications (Outlook, Word, PowerPoint, and Excel).

Must be able to prepare reports using databases, spreadsheets, and other software.

Requires high level of confidentiality, judgment, personal responsibility, and dependability.

Preferences

Education:

Bachelor’s Degree from an accredited college or university (preferred)

Experience:

One (1) year working in the real estate field (preferred)
