DESCRIPTION

Idaho National Laboratory (INL) is hiring an Administrative Assistant to support the Nuclear Safety and Regulatory Research Division. Our team works an onsite 9X80 schedule with every other Friday off.

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Nuclear Safety and Regulatory Research Division. The successful candidate will provide comprehensive administrative support, ensuring the smooth and efficient operation of the division.

Responsibilities:

Compose, edits, and proofs a variety of documents, reports, and correspondence. Design and/or create charts and graphs to be used in oral presentations. Initiate and respond directly to correspondence of both routine and non-routine nature. Respond to problems/inquiries and completes periodic and special reports.
Order supplies by generating requisitions through the company provided systems. Is the Point of Contact (POC) and escort for vendors performing maintenance on office equipment.
Receive, refer, and/or answer inquiries regarding organization activities.
Efficiently manage and coordinate multiple calendars/schedules with accuracy and efficiency while prioritizing time management needs. Proactively resolve scheduling conflicts and coordinate collaborative meetings.
Support office operations by coordinating requests for information or providing general direction about lab processes to staff, and information about the organization to others across INL.
Coordinate travel accommodations for organization(s) and prepare travel expense records.
Advise managers and personnel in making decisions to retain, store, or destroy organization records, ensuring special record-keeping requirements are met for various record classifications.
Maintain office records and files and ensure confidentiality and security of sensitive and controlled documents.
Logistical space coordination and onboarding of new employees. Facilitate phone/move requests, and other maintenance and service requests for employees. Property management and space management.
Monitors status of critical items, assignments, and deadlines to ensure timely completion.
May escort un-cleared visitors as requested.
Other duties as assigned.

Knowledge/Skills/Abilities:

Understanding of the operation of standard office equipment, performing word processing, document preparation, spreadsheets, etc.
Knowledge of procedures and methods related to modern office practices and procedures.
Knowledge of English composition, spelling, grammar, punctuation, etc.
Knowledge of basic mathematics, basic accounting, or bookkeeping.
Knowledge of interpersonal communication skills and professional etiquette, and basic public relations.
Ability to proactively anticipate needs and take appropriate actions in ensure activities are prioritized area aligned to advance mission.
Ability to work independently in meeting various time deadlines and work pressures.
Ability to produce or compose formal documents, reports, and records.

QUALIFICATIONS

Minimum Requirements:

Level 3: High school or equivalent and 4+ years’ relevant experience to include prior experience in booking/managing travel, (Concur system is ideal), experience/knowledge of Asset Suite, Corporate Card systems, and familiar with SharePoint, and experience working with Senior Management & managing multiple busy schedules.
Level 4: High school or equivalent and 6+ years’ relevant experience to include prior experience in booking/managing travel, (Concur system is ideal), experience/knowledge of Asset Suite, Corporate Card systems, and familiar with SharePoint, and experience working with Senior Management & managing multiple busy schedules.

Job Information:

The pay range for this position is Level 3 ($22.43/hour – $37.00/hour)/ Level 4 ($25.79/hour – $42.54/hour). At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.
Multi-Level: This is a multi-level posting and you will be placed at the appropriate level dependent on depth and breadth of proven experience and skills.

Physical Requirements

The employee is frequently required to stand, walk, sit, bend, operate a computer keyboard or type, handle materials, or reach with hands and arms performing the essential functions of the classification. The duties require sitting for long periods, accessing stored file boxes and file cabinets, and moving and organizing physical file materials. The employee must occasionally lift 35 pounds. Specific vision abilities required by this classification include close vision, distance vision, depth perception and ability to adjust focus, conduct research and inspect materials. Sufficient clarity of speech and hearing abilities required by this classification includes those which permit the employee to discern verbal instructions, communicate effectively in person, by telephone or electronic mail. While performing the duties of this classification, the employee works in an office setting where the noise level in the work environment is usually moderate.
