Job Description

The Administrative Assistant will be responsible for assisting the Food and Beverage team. This position includes overall responsibility for all administrative tasks, including but not limited to, answering the telephone in a professional and timely manner and ensuring all callers are connected to the requested or correct parties. Demonstrates and provides outstanding customer and employee relations by receiving all visitors into the F&B/Culinary offices in a polite, courteous, and friendly manner. Performs various administrative duties including, but not limited to word processing, filing, copying, mail distribution, and posting.

Essential Duties

Handle advanced word processing and clerical duties.
Answers F&B office phones and connects calls in a polite, courteous, friendly and efficient manner
Receive, sort, and route mail, e-mail, and voice messages accurately and efficiently to appropriate parties.
Attends periodic meetings and training sessions as required.
Calendar management with the ability to anticipate calendar conflicts and manage last-minute changes.
Oversee the new hire setup, processes SAR paperwork for technological needs and ensures proper access to all systems
Assist in departmental projects, acting as a project manager to ensure tasks are completed in a timely manner.
Perform general admin duties including typing, filing, copying, faxing, mailing, etc.
Order, maintain, and restock inventory of office supplies and beverages.
Maintain filing system, tracking the receipt and review of invoices, binders, policies, and other important documents.
Process hourly payroll for team
Updates rotations for beverage and market daily
Create and update bi-weekly schedules for teams
Managing the calendar and tracking Vacation and PTO requests.
Red Rock ordering- Ordering for all F&B departments for everyday items needed and ordering for special projects and Banquets.
E-filing of all our employees
Responsible for filing SAR and Advertising requests and route for signature
Track and file Loyalty responses for RW Prime
Respond to RW Prime Open Table reviews in 48 hours.
Make service request calls as needed ex: Pepsi, Berg, Nestle, Starbucks and escort service teams when on property.
Other duties and projects as they are assigned.

Job Requirements

Physical and Mental

Ability to sit for extended periods of time. Ability to take direction well. Ability to stand, stoops, bend, reach and walk. Ability to lift 20 lbs., Ability to understand and communicate in the English language.

Work/Educational Experience

Must be at least 18 years old, possess a high school or equivalent diploma and have the ability to obtain the appropriate license pursuant to the New York State Lottery regulations.
One (1) years’ related executive administrative work experience.
Must be proficient in Microsoft Office
Must have the ability to type 60 w.p.m. on a PC.
