Position Objective
The Quality Administrative Assistant is responsible for maintaining overall workflow within the Quality Office. The Quality Assistant is expected to use good judgement in minor decision-making, as is related to maintaining Quality patient-data files.
Essential Responsibilities
Respects and maintains confidentiality, and demonstrates constant awareness of the need for privacy relative to Protected Health Information (PHI).
Communicates well (both written and verbal); has good listening skills; maintains an objective, neutral stance; is empathetic and positive with others; and supports and encourages teammates.
Take action and accountability in getting things done.
Perform standard, advanced and confidential secretarial duties requiring broad experience, skill and knowledge of the organization’s policies and procedures.
High attention to detail must be displayed when performing all aspects of Quality-related work, while maintaining a high degree of accuracy with Infection Prevention, Nursing Performance Improvement and Quality reports, as well as, sentence structure, grammar, spelling, punctuation, style and content.
Schedule and maintain calendar of appointments, meetings and coordinate related arrangements.
Trouble-shoot basic operations of color copier and office equipment.
Input, access and retrieve data within appropriate software packages, or its equivalent to prepare standard and/or complex documents from various sources.
Responsible for day-to-day operations of RL Solutions and Press Ganey.
Proofread and revise material for accuracy and completeness.
Other Responsibilities
Perform all other related duties as assigned in a professional and responsive manner.
Demonstrate the ability to use relevant equipment.
Support, understand, and promote Alomere Health’s mission, vision, values, policies and procedures.
Ability to meet the work schedule requirements with flexibility dependent upon the needs of the department.
Foster respectful working relationships with professional colleagues, patients, families, and general public regardless of age, gender, lifestyle, culture, beliefs, race, socioeconomic class, or ability.
Assist with overall cleanliness of Quality Department, ordering departmental supplies and mailings.
Required Qualifications
Two years post-high school education with medical secretarial (or equivalent) course.
Prior experience in medical secretary duties within a healthcare setting.
Preferred Qualifications
Electronic Medical Record system (EPIC), RL Solutions and Press Ganey experience.
Experience with copier, fax, scanner and laminator.
Knowledge, Skills and Abilities
Strong proficiency in various software programs including MS Word, Excel, Publisher, PowerPoint, Adobe Acrobat, and Adobe Acrobat Sign.
