Scheduler and Administrative Coordinator for the Office of the President Jobs in Sylvania, OH at Lourdes University

BASIC FUNCTION:

Perform a variety of complex administrative, budgeting, financial and operations review activities. Record, evaluate and audit various budget, payroll and financial transactions; prepare and maintain a variety of manual and automated financial and statistical records and reports. Assist in planning, coordination and organization of office activities. Assist in the flow of communications, correspondence and information for the department.

QUALIFICATIONS:

Any combination equivalent to: graduation from high school and four years of secretarial or administrative assistant experience involving frequent public contact, computer operations and financial functions. College-level coursework in accounting, business or related field is preferred. The employee must have strong office, computer, public relations and oral and written communication skills. Must possess knowledge of the technical aspects, methods, processes, principles, practices, procedures and terminology used in assigned field with spreadsheet experience and in-depth understanding of accounting software. Must be able to legally operate a motor vehicle.

ESSENTIAL FUNCTIONS:

Review and audit payroll data, records and related reports and documents for accuracy; identify payroll errors and make appropriate correction. Provide technical budgeting support for various funds, audit accounts for errors and make appropriate adjustments.
Assemble, sort, tabulate, review and post a variety of financial and statistical data; utilize a computer to maintain automated records and files; initiate queries, develop spreadsheets and generate computerized reports and documents as needed.
Compare and reconcile forms, statements, records, reports and other financial documents; identify, investigate and resolve financial issues, errors and discrepancies; verify accuracy and completeness of various documents and make appropriate adjustments.
Maintain access to documents, information and discussions relating to collective bargaining activities as assigned by the position; maintain confidentiality regarding issues related to negotiations and collective bargaining matters.
Provide back-up and training support for purchasing, budgeting, payroll and fiscal-record-keeping functions; calculate, prepare and revise related data.
Provide public relations and liaison Initiate, screen and receive telephone calls. Take, retrieve and relay messages as needed. Maintain appointment and activity schedules and calendars as required. Monitor and adjust activities and projects in response to calendars and time lines. Coordinate flow of communications and information for the administrator. Exercise judgment in resolving a variety of issues and problems.
Compose, independently or from oral instructions, note or rough draft, a variety of materials such as inter-office communications, forms, letters, memoranda, bulletins, agenda items, lists, schedules, fliers, notices, requests and other materials.
Research, compile and verify a variety of data and information; prepare process and evaluate a variety of forms, applications and Duplicate, assemble, distribute, collect, verify, and assure accuracy and completeness of various documents and reports.
Serve as a liaison between administrator, other departments and sites, outside agencies and the general public concerning assigned functions and Refer difficult issues to the admistrator as necessary.
Prepare and maintain a variety of records, logs and reports related to programs, projects, services, financial activity, and personnel as Establish and maintain filing systems; review, revise, edit, format and proofread a variety of documents.
Input and update a variety of data in an assigned computer Establish and maintain automated files and records; create queries, develop spreadsheets and generate various computerized lists, forms and reports; assure accuracy of input and output data.
Maintain access to documents, information and discussions; maintain confidentiality.
Perform related duties as assigned by the administrator to meet the particular needs of the department.
