Executive Assistant – Chicago, IL

We are seeking an experienced professional to step into the pivotal role of Executive Assistant, providing essential support to our President & CEO, and members of our C-suite. Join us and make a significant impact as you navigate the exciting challenges of executive support in a dynamic corporate setting.

This is a highly visible position that not only supports our Executive team, but also supports our Board, and manages the event coordination for corporate events. The Executive Assistant will closely collaborate with other departments and teams to prepare and distribute reporting and presentations for various corporate meetings and events. It’s a fast-paced, deadline-driven job that will have you working on something different every day.

The ideal candidate will have experience supporting a President & CEO and an executive team. The successful Executive Assistant will be adept at forecasting the needs of the CEO and team and will proactively coordinate event details and materials for successful execution. The Executive Assistant serves as a liaison with all levels of both internal and external contacts. This individual will have a team player mentality, excellent attention to detail, and refined organizational skills. The position requires a strong ability to manage multiple projects with competing deadlines while keeping your cool. Collaboration with other corporate and technical staff is a large part of this role. The Executive Assistant will learn quickly how the company operates (people, processes, and technology) to maximize individual resourcefulness.

Location: This position will have a hybrid work schedule and will work in our downtown Chicago office 3 days a week.

The Impact You Will Have:

Provide comprehensive support to the President/CEO and other executives as assigned.
Serve as the liaison for our Executive team and Board members, managing logistics, communication, and preparation for corporate meetings.
Independently manage and coordinate meetings, including agenda development, on-site assistance, and presentation preparation.
Ensure strict compliance with organizational policies, maintaining confidentiality and discretion in all matters related to executive responsibilities.
Anticipate needs and act on behalf of the Executives when appropriate.
Prepare and assist with the preparation of correspondence, reports, and materials for Board meetings and internal programs.
Event coordination including internal and external meetings, travel, and corporate gatherings.
Assist Corporate Officers with corporate projects, including research for services and products as needed.
Attend internal meetings to support management as requested.
Coordinate with and provide administrative support to staff as requested.
General project support and assistance as requested.

What We Are Looking For:

A minimum of 5 years in an executive support role, with a proven track record of supporting CEOs and multiple executives.
Bachelor’s in business, marketing, or related field preferred.
Possess excellent written and verbal communication skills with the ability to engage effectively across all levels of the organization.
Demonstrated experience in coordinating events, from Board meetings and Officer retreats to large-scale events with 500+ attendees.
Technical Proficiency: Strong skills in Microsoft Office suite, including Outlook, Excel, and PowerPoint.
Ability to work independently while fostering a collaborative and professional office environment.
