As a Scheduling & Timecard Administrator/Specialist, you will ensure seamless scheduling, accurate timekeeping, and timely payroll processing for a dynamic, system-wide staffing program. You’ll work closely with clinical staff and leadership to maintain smooth operations across multiple sites, balancing precision with responsiveness. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities under tight deadlines. Accountabilities
- Manage end-to-end scheduling and timekeeping processes, including shift assignments, time-off requests, and accurate recording of employee hours across multiple facilities.
- Review, validate, and finalize timecards to ensure payroll accuracy, investigating discrepancies and processing corrections when needed.
- Track, calculate, and submit stipends and incentives, ensuring alignment with facility-specific policies and proper cost center allocation.
- Maintain accurate scheduling and payroll data using tracking tools and spreadsheets, ensuring all information is up to date and well-organized.
- Coordinate communication with staff, managers, and cross-functional teams to address scheduling needs, resolve issues, and ensure alignment.
- Oversee transitions or updates to scheduling and timekeeping systems, contributing to process improvements and system optimization.
- Proactively manage workflows, deadlines, and communications, ensuring timely payroll sign-off and operational continuity, including occasional off-hours support.
Requirements
- High school diploma or equivalent, with at least 2 years of experience in scheduling, payroll, or timekeeping for hourly employees.
- Strong proficiency in Excel, including data organization, filtering, and tracking.
- Experience with timekeeping or workforce management systems; familiarity with Kronos or similar platforms is a plus.
- Excellent organizational and multitasking skills, with the ability to manage repetitive processes and strict deadlines.
- Strong attention to detail and problem-solving skills, particularly in identifying and resolving payroll discrepancies.
- Effective communication skills, with the ability to interact across multiple channels (email, phone, text) and maintain professional relationships.
- Self-motivated and proactive mindset, capable of working independently in a fast-paced environment.
- Availability to support payroll cycles, including working every other Sunday and occasional off-hours communication.
