About the role
This position provides administrative and organisational support to ensure the effective coordination and delivery of the school’s Talented Sports Programs. This role is central to maintaining efficient communication, scheduling, and operational processes, and works closely with the Director of Sport.
Key Responsibilities -
Administrative Support
- Provide day-to-day administrative assistance to the Director of Sport
- Manage calendars, appointments, and meeting schedules
- Maintain accurate records, databases, and filing systems
Program Coordination
- Assist in the organisation of sporting events, competitions, and training programs
- Assist in coordination of logistics including venues, transport, and equipment
- Assist with coach, staff, student, and external sporting body liaison
Communication
- Respond to enquiries via phone, email, and in person
- Support the dissemination of information related to sports programs and events
Financial & Resource Support
- Assist with budgeting, invoicing, and purchase orders
- Assist with tracking of expenses
- Monitor sports equipment, uniform and supplies
Qualifications
- Proficiency in General Administration, Administrative Assistance, and Organization Skills
- Strong Communication skills for effective interaction with students, staff, and the wider school community
- Experience in Customer Service and handling inquiries with professionalism and courtesy
- Organized, detail-oriented, and able to maintain accuracy in record-keeping and multitasking
- Proficiency in relevant computer software and familiarity with office tools and systems is desirable
- Understanding of education-related administrative processes or experience in a school environment is beneficial
- Ability to work collaboratively in a team environment and adapt to changing priorities
Selection criteria
- Demonstrated capacity to work effectively as part of a team.
- Administration skills including a knowledge of computer software programs such as Microsoft Office.
- Effective oral and written communication skills.
- Ability to meet deadlines.
- Ability to work with teachers and students.
- Ability to perform tasks in one or more of the following areas: office procedures; accounting procedures; sick bay; hospitality, science and/or design and technology.
