JOB SUMMARY
Perform varied administrative work of moderate difficulty supporting the activities of the Clerk of the Board and the Board of Supervisors, act in absence, or on behalf of, the Clerk of the Board or the Deputy Clerk of the Board to facilitate and execute the performance the duties and functions of the office of the Clerk of the Board as prescribed in ARS 11.241, and work closely with the Clerk of the Board to facilitate effective communications under limited supervision.

TYPICAL CLASSIFICATION ESSENTIAL DUTIES:
Provides administrative support for the Clerk’s office; screens telephone calls, mail, e-mail, and other communications and initiates appropriate action/response; records and transcribes dictation; types, composes, edits, or proofreads various documentation; maintains the clerks departmental calendars and schedules meetings, appointments, interviews, or other activities; and coordinates all departmental travel arrangements, accommodations, conference registrations.
Answer general and non-routine questions from County Departments, other agencies and the public concerning Board actions and County functions.
Compile and evaluate social, historical, and economic data, which relates to issues being considered by the Board
Coordinate and supervise selected functions in support of the Clerk of the Board and the Board of Supervisors.
Assist in the preparation of Board of Supervisors meeting agenda’s and assure all agenda’s are posted in accordance with the Open Meeting Law.
Assure contracts and other documents submitted for Board approval are accurate and approved through the electronic agenda system by those departments who need to approve them.
Process all documents approved or disapproved by the Board of Supervisors.
Scan and/or record all contracts, grants, resolutions, and files all other official documents maintained by the Clerk of the Board pertaining to actions taken by the Board of Supervisors in accordance with retention guidelines of Arizona State Library Archives.
Receive and process all Notice of Claims and Lawsuits.
Coordinate and administer the activities of the Board of Equalization as mandated by Arizona Revised State Statute.
Provide administrative support to the Internal Audit Committee attending meetings, taking minutes and keeping records, preparing agendas, summaries and minutes, filing and preserving material, mailing final action of all correspondence and notices, website updates, publication and posting requirement, assisting departments with Internal Audit recommendations for the BOS agenda.
Maintain the list of Boards and Commissions, notify the Board of Supervisors when an appointment/reappointment is necessary, and update the working list as well as the list on the Web.
Assist with development and implementation of operations and special projects.
Respond to calls from the public by finding answers to questions and/or referring queries to appropriate department or county employee and follow-up to ensure issue has been appropriately addressed.
Provide administrative support as needed to district offices of the Board.
Prepare reports and maintain official records.
Analyze departmental financial or project data and make recommendations.
Answer questions and provide information to the public and county officials concerning meeting agendas, minutes, and other items regarding statutes, rules, and publications of the Board of Supervisors.
Act as liaison with other governmental agencies and the public on matters related to County programs and activities.
Maintain calendars and schedules of activities, meetings, and various events, set meetings and appointments, coordinate activities with other County departments, the public, and outside agencies, and ensure that meeting facilities are prepared.

Maintain absolute confidentiality of work-related issues, customer records and restricted County information.
Perform other related duties as required.
Minimum Requirements
MINIMUM REQUIREMENTS TO PERFORM WORK:
High school diploma or related field.
Five (5) years of experience in high level secretarial/administrative support work.
Or an equivalent combination of relevant education and/or experience may substitute for the minimum requirements.
Preferred Qualifications:
Valid Arizona State Driver’s License.
Notary Public certification may be required.

Ability to maintain effective working relationships with other County employees, supervisory personnel, elected officials and the public.
PHYSICAL DEMANDS:
The work is light and requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. The work also requires the ability to finger, perform repetitive motion, lift, pull, push, stoop, hear, speak, walk, operate motor vehicles, and demonstrate mental and visual acuity.

Work is performed in a dynamic environment that requires the ability to be sensitive to change and responsive to changing goals, priorities, and needs.
