Summary

The Department of Community Development is seeking a detail-oriented and professional Administrative Specialist II – DCD (Code Enforcement) to perform complex administrative and clerical duties that support code enforcement and broader departmental functions. This position plays a key role in hearings coordination, public records compliance, financial and grant support, and customer service. The ideal candidate is proactive, organized, and comfortable working both independently and collaboratively in a dynamic office setting.

Essential Duties

Interpret and explain policies, procedures, and codes to internal and external customers via phone, email, and in person.
Provide guidance in potentially sensitive or complex customer interactions.
Research and summarize technical or program-specific information using spreadsheets and databases.
Organize and maintain departmental records, including contracts, legal documents, and budget materials.
Serve as Hearing’s Examiner Clerk for Type-3 land use hearings: manage correspondence, record meetings, produce minutes, and distribute decisions.
Collaborate with the DCD Financial Specialist to ensure cross-training and continuity of services.
Draft, proofread, and edit official documents, ordinances, and correspondence.
Manage incoming/outgoing mail and prioritize time-sensitive materials while maintaining confidentiality.
Assist in preparing budget materials and grant documentation in coordination with fiscal staff.
Set up, attend, and record public meetings (in-person or via Zoom); take and finalize minutes.
Maintain inventory records and conduct annual audits in coordination with the Auditor’s Office.
Represent the department at administrative hearings, court inquiries, and committee meetings.
Schedule meetings and manage calendars for leadership and staff.
Participate in configuration, testing, and rollout of new software; provide staff training as needed.
Serve as Public Records Specialist: fulfill records requests, ensure proper archiving, and comply with state retention policies.
Retrieve archived physical records, including lifting boxes and climbing ladders if necessary.
Provide Notary Public services as required.

Education/Training
High school diploma or GED required
Some college and/or technical college coursework preferred

Experience

Minimum of five (5) years of experience in a similar office environment performing complex administrative duties
