JOB DESCRIPTION
Administrative Assistant duties and responsibilities include assisting in all aspects of the administration department including but not limited to office day-to-day operations, event coordination, and initial data entry. The duties are varied in nature ranging from general administrative duties such as answering and directing phone calls, drafting correspondence, sending/receiving mail, manual and electronic document management, event coordination, office supply management, drafting meeting minutes, scheduling, supporting office maintenance, and coordination with vendors. Part-time, hourly, non-exempt employee with anticipated work hours of 15-20 hours per week.
Serve as front office support by answering calls, greeting visitors, coordinating lunch meetings, and running office-related errands.
Perform general administrative tasks including filing, typing, copying, scanning, and document preparation.
Schedule meetings and manage calendars for conference rooms, vacations, travel, and events.
Plan and execute company events (retreats, business development, FACs, fun committee), tracking to related budgets.
Maintain physical and digital filing systems; identify and implement process improvements.
Manage contact lists and coordinate with Marketing on mailings; draft and distribute correspondence.
Monitor and maintain office supply inventory across multiple locations, including order processing and tracking.
Update and maintain administrative SOPs to support operational efficiency.
Oversee office space planning, workstation changes, and employee support for infrastructure needs.
Ensure cleanliness and organization of shared office areas, including kitchen, copy room, and conference rooms.
Coordinate vendor services for equipment setup, maintenance, janitorial needs, and building repairs.
Attend or review project meetings and produce accurate meeting minutes.
Support project managers with document management and contractor coordination; handle project-related errands.
Manage company assets and equipment lifecycle, including tracking, updates, and software rollouts.
Support management staff with racking of IT equipment and vehicle assignments and maintenance.
Manage electronic signature platform through routing of documents for contracts and related items.
MINIMUM QUALIFICATIONS
The ideal candidate will have the following qualifications:
High school diploma or equivalent required; additional administrative coursework or certification is a plus.
Minimum of one-year of administrative or office support experience, preferably in a construction, engineering, or technical environment.
Willingness to obtain a Colorado Notary Public license.
Solid understanding of office management practices and administrative procedures.
Familiarity with construction or project management terminology is a plus.
Proficient in Microsoft Office Suite (Outlook, Excel, Word); experience with Adobe Acrobat and cloud-based platforms (e.g., SharePoint, Google Drive) is beneficial.
Strong time management and multitasking skills with the ability to prioritize tasks in a fast-paced, deadline-driven setting.
Detail-oriented with excellent organizational, data entry, and recordkeeping skills.
Strong written and verbal communication skills; proficient in document formatting and typing.
Ability to follow and improve administrative processes and workflows.
Professional interpersonal skills with the ability to build effective relationships with staff, clients, vendors, and contractors.
Self-motivated, dependable, and adaptable to changing office and project needs.
Ability to work independently and collaboratively within a team environment.
Candidate must be able to pass a drug screen, background check, and have a satisfactory driving record in accordance with the company’s driving (MVR) policy
