Job Overview:
We are seeking a highly organized and detail-oriented individual to join our real estate office as an Administrator. The Administrator will be responsible for managing office operations, providing administrative support to real estate agents, and ensuring smooth day-to-day functioning of the office. The ideal candidate will have excellent communication skills, strong task switching abilities, and a passion for delivering exceptional customer service.

Responsibilities:

Office Management:
Oversee daily office operations, including managing phone calls, emails, and correspondence.
Maintain office supplies inventory and place orders as needed.
Ensure the office environment is tidy, professional, and welcoming for clients and staff.
Administrative Support:
Provide administrative assistance to real estate agents, including scheduling appointments, preparing documents, and managing client databases.
Assist with marketing efforts, such as creating promotional materials and coordinating advertising campaigns.
Prepare and distribute reports, presentations, and other documents as required.
Client Relations:
Greet clients and visitors in a courteous and professional manner.
Respond to client inquiries and requests promptly and professionally.
Assist with scheduling property viewings and open houses as needed.
Transaction Coordination:
Support real estate transactions by ensuring all necessary paperwork is complete and accurate.
Coordinate with clients, agents, lenders, and attorneys to facilitate smooth transactions.
Maintain organized records of all transactions and related documents.
Technology Management:
Proficiently use office software and real estate databases to manage information and track transactions.
Troubleshoot technical issues and liaise with IT support when necessary.
Keep abreast of industry-specific software updates and tools to enhance office efficiency.

Qualifications:

Previous experience in office administration preferred, preferably in a real estate or related industry.
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office suite and other relevant software applications.
Attention to detail and accuracy in data entry and document preparation.
Ability to work independently as well as part of a team.
Knowledge of real estate terminology and processes is a plus.

Education:

High school diploma or equivalent required.
Additional certification or coursework in office administration or real estate is advantageous.

Working Conditions:

This position is based in a fast-paced office environment.
Regular office hours with occasional evenings and weekends may be required, especially during peak seasons.

Pay: $38,000.00 – $80,000.00 per year
