Job Summary
This recruitment will be used to fill one full-time Administrative Program Specialist: International Scholarships and Admissions Coordinator for the International Admissions office at Oregon State University (OSU).
The Administrative Program Specialist (International Scholarships and Admissions Coordinator) is housed in the OSU International Admissions office and reports to the Director of International Admissions. The position manages the administration of Oregon State University’s recruitment and retention tuition remission and Foundation scholarships for international students and supports the operations of international admissions. The position represents and communicates admissions and scholarship offerings, requirements, and eligibility to students and stakeholders. The employee works closely with senior leadership in the Office of International Services, International Admissions, INTO OSU and the OSU Scholarship office to provide analysis and reporting of scholarship trends for strategic consideration, increase campus awareness of internationally related scholarships, and to ensure the use of best practices to accomplish the goals of the University and the specific scholarship programs. This position must develop, retain, and document institutional knowledge and best practices related to these scholarship portfolios. This position represents OSU international scholarships on university wide committees and with recruitment stakeholders through the INTO OSU partnership. The position will also assist with special projects related to international admissions including, but not limited to processing application materials and responding to public inquiries.

Key Responsibilities
30% SCHOLARSHIP ADMINISTRATION
Responsible for administration of OSU international scholarship portfolio, including recruitment and retention scholarships for international students and need based scholarships for enrolled students. Administration includes working in conjunction with senior leadership in the Office of International Services, International Admissions, INTO OSU, the OSU Scholarship Office, the Office of Financial Aid, and other OSU partners to ensure administrative consistency and development of sustainable policies, guidelines, and processes.
Research, recommend, develop, and document best practices for all processes, policies, and procedures related to OSU international scholarships.
Maintain appropriate scholarship records and provide cyclical report on status of all scholarships to senior leadership.
Develop and implement, in conjunction with supervisor and/or other senior leadership, an assessment plan for periodic evaluation and effectiveness of all OSU international scholarships.
Analyze and report on scholarship usage and trends as directed by OSU senior leadership for use in strategic scholarship planning. In coordination with the Director of International Admissions and the Director of International Services, administer OSU and relevant external recruitment and retention scholarship programs and implement awarding strategies to support enrollment goals.
Maintain and update all scholarship applications, contracts, promotional materials, information, and resources
Responsible for staying up to date on educational practices and academic policy regarding INTO OSU and OSU international scholarship programs and financial literacy for international students.
Support the INTO OSU Marketing/Recruitment and OSU International Student Advising teams’ work with prospective and current students as it relates to scholarship issues.
Work collaboratively with campus partners to award programmatic, college and departmental scholarships in the scholarship management system and to develop best practices.
Maintain scholarship profiles in OSU’s scholarship management system. Work with Business Affairs to notify international students of tax withholding for taxable scholarships/fellowships and respond to general questions.
Serve as point person on central OSU scholarship committees and as a resource as it pertains to administration of international scholarship and the development/implementation of the OSU scholarship management system.
Serve as point person for OSU Scholarship Office and OSU Foundation as it pertains to scholarship audits. Work with contacts from these offices to make changes when necessary in order to achieve best use of scholarship funds.
25% AWARDEE MAINTENANCE
Conduct pre-screening for scholarship eligibility and make award decisions in conjunction with relevant scholarship committee; notify applicants of award status; collect and maintain awardee signed contracts.
Verify continued eligibility of current award recipients from term to term; notify awardees throughout the year of changes to award based on eligibility.
Maintain quarterly awardee information and relevant documentation in University systems. Manage disbursement of awards in the OSU Reimbursement and Scholarship System and the INTO Salesforce system.
Audit quarterly disbursements of funds in OSU systems to monitor changes in enrollment that impact awards.
Work with relevant IT Teams to ensure scholarship awarding and notification systems reflect international scholarship offerings
20% COMMUNICATION & OUTREACH
Provide outreach and respond to inquiries from students and stakeholders who have various identities, cultural and linguistic backgrounds, communication styles and expectations, regarding OSU and INTO OSU international scholarships availability, eligibility, deadlines, and application processes.
Report on scholarship account budgets and balances as requested. Work with the OSU Foundation to communicate with donors in relation to award updates, changes, and acknowledgment from awardees.
Represent OSU international scholarships to INTO OSU recruitment, campus and community stakeholders through presentations, events, and information sessions for a diverse audience with varying needs.
Work with stakeholders to develop relevant strategies to promote OSU, INTO OSU and relevant external international awards to stakeholders.
25% International Admissions Support
Assist with international enrollment management tasks and duties, including processing application materials and updating student files.
Assist with international student orientation and other student facing events
Perform additional related duties as assigned.
Occasional evening and weekend work required depending on project and timelines.
What We Require
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience. One year of postsecondary education may be substituted for up to one year of the experience.
What You Will Need
Demonstrated ability to take initiative and complete projects independently.
Demonstrated skills in planning, prioritizing, and determining options/making recommendations.
Experience working with scholarships and/or administration of budgets.
Demonstrated ability to communicate successfully and inclusively, and providing guidance on relevant policies, both in writing and verbally, with a diverse audience.
Demonstrated attention to detail; precision in proofreading and accuracy in all data management and correspondence.
Experience providing excellent customer service to a diverse and broad group of stakeholders with varying backgrounds, needs, and identities in a fast-paced, demanding environment.
Ability to work with others from diverse cultures who have various levels of English proficiency.
Proficiency using Microsoft Word, Microsoft Excel, and Adobe PDF.
Experience using databases and/or customer relationship management software.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
