Summary
We’re looking for a proactive, highly organized, and professional Executive Assistant to support our CEO and play a key role in ensuring the smooth day-to-day operation of the agency. This role includes executive support, internal coordination, and client-facing communication, making it ideal for someone who thrives in a fast-paced, detail-oriented environment.
Responsibilities
Provide high-level administrative support to the CEO, including managing calendars, appointments, travel, and inbox organization
Act as a liaison for internal and external communications, demonstrating discretion and professionalism
Draft, edit, and proofread reports, meeting minutes, and executive correspondence
Coordinate meetings, conferences, and events, handling logistics from start to finish
Track deadlines, deliverables, and assist with project coordination and follow-ups
Maintain organized records, digital files, and office systems
Support front desk responsibilities as needed, including greeting visitors and managing incoming calls
Prepare presentations, spreadsheets, and reports as requested
Help plan and coordinate company meetings, team-building events, and other agency activities
Provide occasional personal assistance to the CEO
Maintain confidentiality at all times while handling sensitive information
Requirements
3+ years of experience as an Executive Assistant or in a similar administrative support role
Excellent organizational and multitasking skills with meticulous attention to detail
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with CRMs or agency management systems is a plus
Ability to work independently and prioritize in a fast-paced environment
High level of professionalism, discretion, and initiative
Familiarity with the insurance or financial services industry is preferred but not required
