DESIRABLE QUALIFICATIONS INCLUDE :
Graduation from high school, including or supplemented by courses in typing, word processing and business practices.
Above average knowledge of language skills, particularly in areas of spelling, punctuation and proper English usage. Demonstrated ability to edit documents.
Ability to type 60 words per minute.
Demonstrated proficiency with Microsoft Office Suite including Publisher and other applications as well as data entry, data management skills (i.e., TIEnet and PowerSchool) and purchase orders (AS400). Experience using Adobe and Front Page.
Ability to set up and maintain an efficient and effective filing system, including digital filing.
Ability to maintain complex clerical records and prepare reports from such records.
Ability to function effectively with minimal direct supervision and make minor office decisions in accordance with established policies and regulations.
Demonstrated ability to communicate clearly and to work cooperatively in daily interactions with staff, general public and service clientele.
Ability to efficiently prepare written summaries of meetings and seminars.
Broad knowledge of office procedures and office machines.
Flexibility and willingness to adapt to varied responsibilities and work locations.
Present a neat and professional appearance.
Work history and reputation of being habitually supportive of peers, of habitually maintaining outward composure, being positive and working effectively and efficiently with supervision.
Ability to bend, stoop, reach high and low, lift and carry 40 pounds.
Must pass criminal background check as required by the School Safety Legislation.
RESPONSIBILITIES SHALL INCLUDE BUT NOT BE LIMITED TO:
Provide clerical assistance to staff and/or assistance to Executive Director’s secretary.
Receive incoming calls, direct them as appropriate and provide assistance as required.
Promptly and courteously handle inquiries and questions from clientele, staff and other persons.
Schedule appointments for consultants and Center Program staff; receive children, parents and visitors rendering assistance as needed. Keep track of staff and student schedules.
Adjust hours as necessary to provide assistance for workshops.
Maintain student and other school records and files. Maintain staff calendars and schedules.
From rough draft or instructions, type forms, accounting and financial statements, letters, receipts, attendance reports, requisitions, evaluation reports and other materials; compose routine letters; create simple brochures, pamphlets and other informational documents.
Fabrication of ID Badges as requested.
Receive and distribute mail within and for the department.
Performing such other functions and duties as may be necessary and related to the above and as determined by future course of events.
Perform such other functions and duties as deemed necessary by administrator.
