Essential duties and responsibilities
The first face clients see when they come to our office, the Front Office Administrator is responsible for creating a welcoming environment for all guests. With a hand in all parts of the office, the Front Office Administrator assists with many day-to-day activities ensuring they go off without a hitch. The Front Office Administrator assists with a myriad of projects, supporting the leadership team in achieving its goals and growing the office to its highest potential.
Reception
Greet all guests, creating a warm and welcoming environment
Answer incoming calls and emails, forwarding to the appropriate party in a timely manner
Act as the Office Information Guide, answer questions and point agents in the right direction
Log outgoing pick-ups for couriers, clients, etc.
Distribute mail and packages
Manage conference room schedules
Open and close the office
Administrative
Manage and oversee a virtual assistant
Manage and schedule broker onboarding meetings with staff, and process agent onboarding and exits
Manage and grow the Preferred Vendor Program for the office including scheduling events and acting as a liaison between vendors and the office.
Prepare materials for internal training and events and assist with set-up as needed
Ensure supplies are stocked throughout the office and complete a monthly supply order
Maintain visual standards throughout the office
Submit facility requests to building management
Draft weekly team meeting slides
Update awards, recognition and profit share information throughout office and communicate monthly awards
Assist with updates to KWGS lobby and conference room slides
Assist with reservation and travel arrangements when necessary
Prepare production reports as needed
Send correspondence to guest speakers
Marketing
Create and update class fliers and calendars throughout office
Oversee and execute the Market Center Event & Training Marketing calendar
Update and post weekly market stats to KWGS social media profiles
Draft and post monthly production awards to KWGS social media profiles
Draft and post monthly profit awards to KWGS social media profiles
Draft and post monthly capper announcements to KWGS social media profiles
Draft and post new agent announcements to KWGS social media profiles
Design and order new broker collateral (i.e. business cards and signs)
Create market update fliers for KWGS broker use
Assist with Market Center events as needed
Produce flyers for event and training promotion
Manage and edit the online video library
Create monthly and weekly visual calendars and schedule them to be sent through Mailchimp
Knowledge/Skills
Calm under pressure
Outgoing and personable
Service-based attitude, hospitality experience a plus
Strong organizational skills
Knowledge of MS Products including PowerPoint. Word, and Excel required
Knowledge of Canva required
Able to work a multi-line phone system
Strong written and verbal communication skills
Able to work with all personality types
Able to re-prioritize throughout the day
Learning based
Real estate license preferred, but not necessary
