Job Purpose

HR, and facility management skills to support the CIO and the Technology Department. This role is essential for ensuring the efficient operation of the CIO’s office and involves a wide range of responsibilities, including:

The Administrative Coordinator will act as the right hand to the CIO, providing comprehensive administrative support to ensure the smooth functioning of the office. This includes managing the CIO’s schedule, handling correspondence, organizing meetings, and maintaining records. The role also encompasses HR coordination, such as assisting with recruitment, onboarding, and employee record management, as well as overseeing administrative operations and facility management to create a safe and efficient working environment.

Key Result Areas

CIO Communications:Draft, review communications on behalf of the CIO, ensuring clarity and consistency in messaging.

Operating Environment, Framework and Boundaries, Working Relationships

Compliance and Standards:

ESupport and Collaboration:

Provides support to the CIO and the Technology Department, assisting with various administrative and operational tasks.

Collaborates with HR, Finance, and other departments to ensure cohesive and integrated support for the Technology Department.

Participates in cross-functional teams and projects, contributing to the achievement of organizational objectives.

Liaison between the CIO’s office and other departments, ensuring smooth information flow and timely responses.

Problem-Solving and Decision-Making:

Identifies and addresses issues and challenges proactively, providing solutions to ensure smooth operations.

Supports the CIO in decision-making processes by providing relevant information and analysis.

Encourages a culture of continuous improvement and learning within the CIO’s office and the Technology Department.

HPerform all executive secretarial and administrative tasks for the CIO, including managing calendars, scheduling meetings, and preparing reports.

Knowledge, Skills and Experience

10 Yrs experience in experience within coordination role and experience supporting senior executives a familiarity with technology and IT terminology is a plus.

High school diploma or equivalent; additional qualifications in office administration are a plus.

Proven experience as an administrative assistant, preferably in a technology-driven environment.

Proficiency in using office software, including Microsoft Office Suite, Google Workspace, and other relevant tools.
