Alliance for Empowerment is a not-for-profit entity formed as a parent company to take on administrative functions for other non-profit organizations core business functions, including Finance, HR and IT. Alliance for Empowerment was formed between Able2 and Capabilities, Inc. to secure and grow strength for the missions of our organizations.
Alliance for Empowerment is seeking a Receptionist/Administrative Assistant to be the first point of contact for the agency (and affiliates) and provide exceptional customer service while managing various administrative tasks to support the operations of Alliance for Empowerment.
Duties:
Greet and assist building occupants as well as Alliance for Empowerment, visitors and guests in a friendly and professional manner.
Notifies the appropriate employee, department of building occupants of in person visitors when they arrive.
Answer incoming phone calls, directing them to the appropriate personnel while maintaining a high standard of phone etiquette.
Maintain an organized reception area and promotes environment free of distractions and unnecessary visitors within the main reception are
Maintain organized filing systems for both physical and electronic documents.
Provide excellent customer service by addressing inquiries and resolving issues promptly.
Alerts the appropriate department as it pertains to building and property safety and security issues, i.e. Unwelcome Visitor, weather related safety issues/needs as well as building and equipment operation issues.
Responsible for daily building opening and closing; follow procedures and routines related to ensuring building wide safety and security protocols.
Provide administrative support to Alliance Departments (HR, Finance, IT) including but not limited to: copying and printing, word processing and mailings. Will provide support to other affiliates as assigned.
Distribute Agency communications to staff via bulletin boards and other posting mechanisms as requested.
Assist with distributing incoming mail and processing outgoing mail. Signs for deliveries and alert the appropriate departments of incoming orders.
Qualifications:
Minimum of a High School diploma (or equivalent) required.
1 -3 years’ experience in a similar or related position strongly preferred.
Strong computer skills and experience working with Microsoft Office 365 and similar applications, required.
Ability to operate more complex office phones and manage multiple incoming calls.
Must be able to perform essential physical activities associated with this job (with or without a reasonable accommodation) which include frequent standing, sitting, moving and lifting (up to 25 pounds), and dexterity sufficient to operate phone, printer and/or computer equipment.
Effective oral, written, and phone communication skills.
Excellent interpersonal and organizational skills.
Ability to maintain confidentiality and exercise good judgment in handling sensitive issues.
Ability to operate effectively both independently and in a team environment.
High degree of flexibility, enthusiasm, and ability to accept responsibilities.
Must possess valid driver’s license and/or have access to reliable transportation sufficient to meet duties of the position.
