Position Summary:
We have an exciting opportunity to join our team as a Secretary II – Women & Children’s Services – Mineola.

In this role, the successful candidate Performs secretarial and clerical duties to maintain and support the department. Duties include compiling information, preparing reports, answering telephones, maintaining department accounts; coordinates department activities, prepares and processes correspondence, agendas, general papers, and prepares purchasing information. Assists with the organization, maintenance, and flow of information throughout the department. Serves as a liaison with other departments and staff.

Job Responsibilities:

Performs a wide variety of secretarial, clerical duties to support functions in support of assigned department. Supports department with executing policies and procedure to support the organization’s compliance with regulatory requirements. Complies with HIPPA. Assists in the compilation of reports.

Interacts with staff members to update project documentation as necessary. Compiles from various sources. Maintains various information and reports including assigned database, records and list; inputs corrections and or updates which may include a department computing and software resources or a web page. May process expense reports.

Maintains calendar of activities, coordinates and arranges special events for assigned staff; screens and answers phones; coordinates activities and meetings with other departments andor outside agencies; coordinates scheduling, arrangements and sets up meeting rooms; notifies participants; prepares presentations andor assembles meeting materials. May take minutes, prepare manuscripts for publication.

Creates and maintains accurate and up-to-date electronic and hard copy files, records, logs, and specialized and or technical documents in accordance with the WUH s records retention management program.

Attends to a variety of office administrative details such as ordering supplies, arranging for equipment repair, transmitting information, and keeping reference materials up to date. Distributes information, handles incoming and outgoing mail packages and other special shipments.

Answers and directs telephone inquiries appropriately. Relays messages accurately and in a timely manner.

Assists in the preparation of monthly schedules for clerical support staff. May track various Personnel documentations (i.e. licensures/certification, performance evaluation completion, employee health Status change Forms) for Management s review and approval
