Job Purpose:

The Administrative Assistant at Candler County Hospital is responsible for providing high-level administrative support to ensure the efficient operation of the hospital. This role involves a wide range of tasks that support the hospital’s administrative functions, contributing to the overall effectiveness and productivity of the hospital’s operations.

Key Responsibilities:

Perform general office duties such as answering phones, managing schedules, and handling correspondence.
Coordinate and schedule meetings, appointments, and travel arrangements for hospital executives and staff.
Prepare and edit documents, reports, and presentations with high attention to detail.
Maintain and organize electronic and physical files, ensuring confidentiality and security of sensitive information.
Assist in the preparation and processing of hospital budgets, invoices, and financial reports.
Serve as a point of contact for internal and external stakeholders, providing information and assistance as needed.
Manage office supplies inventory and place orders to ensure availability of necessary resources.
Support hospital projects and initiatives by conducting research, compiling data, and preparing reports.
Facilitate communication between departments to enhance collaboration and operational efficiency.
Perform other related duties as assigned to support the hospital’s administrative functions.
Required Education:

High school diploma or equivalent is required.
An associate degree in business administration or a related field is preferred.

Required Experience:

Minimum of 2 years of experience in an administrative or clerical role, preferably within a healthcare setting.
Demonstrated experience in managing office operations, including scheduling, correspondence, and record-keeping.
Proven track record of supporting senior management or executive-level staff.

Required Skills and Abilities:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Strong organizational skills with the ability to multitask and prioritize workload effectively.
Excellent verbal and written communication skills, with a keen attention to detail.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and the ability to work collaboratively with diverse teams.
Competence in problem-solving and decision-making in a fast-paced environment.
Familiarity with healthcare terminology and hospital administrative procedures is an advantage.
