Job Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong organizational skills and a proactive approach to managing administrative tasks. This role is essential in ensuring the smooth operation of our office and supporting various departments as needed. The Administrative Assistant will be responsible for a variety of clerical duties, including managing files, handling communications, and assisting with day-to-day operations.
Duties
Provide administrative support by managing schedules, organizing meetings, and coordinating travel arrangements.
Maintain and organize files, both physical and electronic, ensuring easy access to important documents.
Handle incoming calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries or directing calls appropriately.
Assist in proofreading documents for accuracy and clarity before distribution.
Utilize Google Suite to create and manage spreadsheets, presentations, and other documents as required.
Support medical receptionists by scheduling appointments and managing patient records when necessary.
Collaborate with team members on various projects, providing assistance as needed to ensure deadlines are met.
Serve as a personal assistant to executives or managers by managing their calendars and prioritizing tasks effectively.
Experience
Proven experience in an administrative role or similar position is preferred.
Strong computer literacy with proficiency in Google Suite applications (Docs, Sheets, Drive).
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
Previous experience in proofreading and document preparation is beneficial.
Familiarity with filing systems and computerized record management is desirable.
