Job Summary
We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to work at a medical office. The ideal candidate will support the business owner/physician with personal and administrative tasks, including answering phone calls, handling patient inquiries, running insurance verifications, managing scheduling, and assisting with day-to-day medical practice operations. This role requires strong follow-through, excellent communication skills, and the ability to handle multiple responsibilities with minimal supervision.
Key Responsibilities: Medical Office Duties
Answer and manage incoming patient phone calls, addressing inquiries, scheduling appointments, and directing calls to appropriate departments.
Conduct insurance verifications and obtain prior authorizations for medical procedures and services.
Handle billing inquiries and communicate with patients and insurance companies regarding payments.
Assist with patient intake, paperwork, and electronic medical record (EMR) data entry.
Coordinate with medical staff to ensure smooth patient flow and efficient operations.
Follow up on outstanding tasks, including medical documentation requests, patient reminders, and administrative compliance needs.
Administrative & Personal Support for the Business Owner/Physician
Manage emails, flag important messages, and respond to routine inquiries.
Schedule and coordinate meetings, appointments, and travel (both personal and business-related).
Research and implement new tech tools and processes to improve efficiency.
Handle file organization, contracts, and document management.
Assist with various personal tasks for the physician, such as making reservations, ordering supplies, or handling errands.
Support special projects and business initiatives, including marketing or operational improvements for the practice.
Qualifications (Must-Haves)
Strong follow-through and attention to detail—if you need constant reminders, this role is not for you.
Tech-savvy and adaptable—comfortable learning new software, EMR systems, and communication tools.
Ability to multitask and handle high-pressure situations professionally and efficiently.
Excellent written and verbal communication skills.
Ability to work independently, take initiative, and ensure tasks are completed without needing frequent check-ins.
Trustworthiness and discretion—this role involves handling confidential patient and business information.
Experience with insurance verification, billing, or prior authorizations is a plus.
Preferred Experience (Bonus Skills)
Prior experience in a medical office, call center, or customer service role (preferably in healthcare).
Familiarity with electronic medical records (EMR/EHR), scheduling software, and HIPAA compliance.
Knowledge of basic accounting, invoicing, or bookkeeping.
Strong problem-solving skills and ability to improve office workflows.
Work Environment & Schedule
100% in-person at the medical office
Must have reliable transportation for in-person work.
Standard business hours, with some flexibility based on office needs.
