Employment Type: Full-time (40 hours per week)

Base Hourly: $20.76

Class/Calendar: B22, 11.25

1% of the base hourly rate granted for each year of verified like experience (within ten years) beyond the requirement, up to a ten-year maximum

1% of the base hourly rate awarded for an AA or higher degree if not required for the position

Job Summary: To provide administrative and clerical support to the school site administrator and assigned personnel; to communicate information regarding school and/or district functions; and to ensure compliance with financial, legal and administrative requirements of assigned functions.

Key Responsibilities:

  • Perform secretarial functions (typing, filing, recordkeeping, etc) to assist the school administrator and assigned personnel
  • Respond to inquiries from students, parents, teachers, district personnel, and general public to communicate procedures, information and/or direction and/or evaluate situations to take appropriate action according to established guidelines
  • Compile data from a variety of sources (timesheets, requisitions, student enrollment, student attendance, cash deposits, etc) and prepare reports ensuring accuracy and compliance with financial, legal and/or administrative requirements
  • Compose documents and/or written materials (correspondence, newsletters, memos, minutes, etc) to communicate and convey information to students, parents, teachers, etc
  • Process and/or prepare documents and materials (PARFs, requisitions, timesheets, transcripts, incoming/outgoing mail, etc) to disseminate information in compliance with district, state and/or federal regulations
  • Schedule and coordinate activities (appointments, meetings, calendars, etc) for assigned personnel
  • Secure substitute personnel as needed to ensure staffing requirements are met for efficient operation of site activities
  • Establish and maintain accurate site files and records in accordance with district, state and/or federal regulations
  • Maintain and order supplies and materials ensuring availability; monitor budget expenditures in compliance with district, state and/or federal guidelines
  • Perform other related duties as assigned to ensure efficient and effective functioning of the work unit
  • May direct or guide other personnel assigned to site
  • Assist with other assigned duties as appropriate to the area of assignment and Mesa Public Schools

      • Enjoy working with students, teachers and parents and have understanding of pupil problems
      • Ability to evaluate situations and make decisions in absence of site administrator
      • Ability to communicate effectively (verbal and written); maintain confidentiality
      • Ability to organize, prioritize, take initiative, direct own workload and meet deadlines while working with frequent interruptions and minimum supervision
      • Knowledge of school district policies and procedures beneficial

      Work Environment &

      Physical Requirements:

      • Typically based in the school’s main office or administrative area
      • Frequent contact with students, parents, teachers and administrators—requiring strong interpersonal and communication skills
      • Regularly interacts with the principal, assistant principal, faculty, and district personnel
