We are seeking a full-time Office Administrator to work in our Los Angeles, California office. The hourly rate for this position is $26.45 – $36.06 per hour.
The ideal candidate will demonstrate the ability to work independently to organize, prioritize, and complete tasks timely and efficiently. The candidate will also possess outstanding customer service, written, and verbal communication skills. This role will provide operations support to Investment Banking Staff.
Duties of this position include, but are not limited to the following:
Reception and Facilities Coordination
1. Ensure common areas of the office are kept neat and organized
2. Greet and welcome all visitors upon arrival at the office
3. Prepare conference rooms for meetings
4. Manage and audit visitor log daily; Register guests with the lobby security as needed
5. Manage and audit room calendars and reservations on a daily basis
6. Order catering for client and internal meetings and trainings as needed
7. Direct and screen telephone calls, voicemails, faxes, and emails
8. Order, re-stock and maintain inventory of all office and kitchen supplies
9. Collect and distribute mail; Coordinate shipping and preparation for outgoing mail
10. Liaise with building management, security and maintenance personnel
Administrative and Operational Support
1. Plan and execute regularly scheduled office events (e.g. team lunches, off-site meetings, trainings & social events etc.)
2. Prepare monthly expense reports, identify and resolve all discrepancies
3. Book travel and accommodation for out-of-town candidates and assist with expense reimbursements as needed
4. Assist recruiting team as needed by preparing resume packets and managing logistical details
5. Perform administrative duties as needed for Investment Bankers (e.g. expense reconciliation, arranging travel, calendar support, etc.)
6. Maintain and protect confidentiality with regard to all aspects of client and company information
7. Perform other duties as assigned
